Does QuickBooks have AI now, and what does it mean for UK sole traders?
Short answer
Yes. QuickBooks now has built-in AI called Intuit Intelligence. Intuit announced on 16 October 2026 that it is "now available internationally", and its UK pages say it is included in QuickBooks Sole Trader Plus, Simple Start, Essentials, Plus and Advanced, with features that vary by plan. It is not available on QuickBooks Sole Trader or QuickBooks Self-Employed. Several of the features are still in beta, and Intuit says they are currently at no extra cost. This page explains what it does, what it means for a UK trade or sole trader, and how it fits with Making Tax Digital for Income Tax, which reaches more sole traders from April 2027. Everything here was checked on Intuit's, HMRC's and FreeAgent's own pages on 25 October 2026.
What is Intuit Intelligence?
Intuit Intelligence is the AI built into QuickBooks. Intuit's UK page calls it "the engine that powers AI in your QuickBooks": it works in the background on jobs like sorting transactions, answers questions about your own figures in a chat box, and can carry out tasks you describe in plain English.
Intuit says it doesn't rely on a single AI model. It uses large language models for reasoning, machine learning for predictions, and ordinary code where numbers have to be exact. The point of that, for you, is that the chat can explain things in normal words while the sums underneath stay rule based.
What can QuickBooks AI actually do?
Intuit's 16 October announcement names three new features for businesses, all in beta:
- Automations. Describe a recurring job in a sentence, such as a monthly business snapshot, and it becomes an automation that runs on a schedule.
- Autonomous invoicing. It creates and sends invoices from your own documents, with reminders handled for you.
- Conversational custom reports. Ask for a report in plain English and get it, including a forward look at your cash flow.
On top of that, Intuit's UK pages list smart expense organisation (it categorises bank transactions for you to approve), a chat for instant answers ("What invoices am I waiting on?"), VAT pre-file checks on Simple Start and above, and bulk invoice drafting with prioritised payment reminders on Essentials and above. Payment reminders are sent "with your approval", so it doesn't chase customers without you saying yes.
Which QuickBooks plans include Intuit Intelligence?
This is the question that matters most for sole traders, because the answer depends on the exact plan name.
| QuickBooks UK plan | Intuit Intelligence? | What you get |
|---|---|---|
| Sole Trader | No | Not included |
| Self-Employed (older product) | No | Not included |
| Sole Trader Plus | Yes | Chat (beta), transaction categorising, custom automations (beta), MTD for Income Tax submission checks |
| Simple Start | Yes | As Sole Trader Plus, plus VAT pre-file checks |
| Essentials | Yes | As Simple Start, plus AI help working with your accountant and bulk invoice drafts (beta) |
| Plus | Yes | As Essentials, plus AI insights, anomaly detection and lead follow-ups |
| Advanced | Yes | As Plus, plus scenario planning and project drafts |
Source: Intuit's QuickBooks UK Intuit Intelligence and pricing pages, read 25 October 2026. Chat questions and automations are capped per month on every plan, and Intuit doesn't publish the caps. Only the primary user and company admins get the full chat; other users can use it for product help only.
Does QuickBooks AI cost extra?
Not at the moment. Intuit's UK small print says "Intuit Intelligence and certain other AI features are currently available at no additional cost at this time", and that pricing and terms can change without notice. You pay for the QuickBooks plan itself. For current plan prices, see how much is QuickBooks a month in the UK?, which we check against Intuit's pricing page.
Is QuickBooks AI available to UK sole traders?
Yes, if you are on Sole Trader Plus or a higher plan. If you are on plain QuickBooks Sole Trader or the older Self-Employed product, you won't see it. Intuit's sole trader page also notes that its AI outputs are in English only, and it recommends you review every output carefully.
One thing to watch: many of the headline claims on Intuit's page, such as getting paid four days sooner, are based on US customer data, and Intuit says results outside the US may vary.
What does this mean for Making Tax Digital?
Making Tax Digital for Income Tax means keeping digital records and sending HMRC quarterly updates from compatible software. HMRC's guidance sets the dates by qualifying income (your self-employment and property income added together, before expenses):
- Over £50,000 in 2024 to 2025: you should have started from 6 April 2026.
- Over £30,000 in 2025 to 2026: you need to start from 6 April 2027.
- Over £20,000 in 2026 to 2027: you need to start from 6 April 2028.
So a plumber or electrician turning over £30,000 to £50,000 needs MTD software from April 2027. HMRC writes to people it thinks need to join, but says it is still your responsibility to check. HMRC has also said it won't give penalty points for late quarterly updates in the 2026 to 2027 tax year. Our Making Tax Digital for Income Tax guide and what is Making Tax Digital for Income Tax? cover the rules in full.
AI doesn't change what you have to send HMRC. Where it helps is the boring part in between: getting receipts and bank lines categorised every week so the quarterly update is a check, not a weekend of catching up. QuickBooks lists "Making Tax Digital for IT submission checks" as part of Intuit Intelligence on Sole Trader Plus.
How does it compare with Sage and FreeAgent?
QuickBooks isn't the only one adding AI ahead of MTD:
- FreeAgent says its AI "auto-explains over 80% of bank transactions whilst maintaining 90% accuracy", and it has added deeper CIS workflows. FreeAgent is free with an eligible NatWest, Royal Bank of Scotland, Ulster Bank or Mettle business account. See our FreeAgent page.
- Sage has launched an MTD for Income Tax agent inside Sage for Accountants, so it is aimed at accountancy practices rather than sole traders doing their own books. See our Sage page.
- Xero is the other big name; see our Xero page.
If you are a CIS subcontractor, check that whichever software you pick handles CIS deductions properly; our CIS guide explains what to look for. For a wider comparison, read AI bookkeeping for sole traders and the best AI tools for bookkeepers.
How to get started with Intuit Intelligence
- Check your plan in QuickBooks under your account settings. If it says Sole Trader or Self-Employed, you'll need Sole Trader Plus or above to get the AI.
- Connect your business bank feed so it has transactions to work with.
- Go through the suggested categories each week and approve or correct them. Corrections help it learn your patterns.
- Try the chat with questions about your own figures. Good first questions for a trade:
- "Which invoices are overdue and by how many days?"
- "How much did I spend on materials last quarter compared with the one before?"
- "What's my profit so far this tax year?"
- "Set up a monthly summary of income, costs and unpaid invoices on the 1st of each month."
- Before letting it send any invoice or reminder, read the draft. You stay responsible for what goes to your customers and to HMRC.
Limits and risks
- Beta features change. Intuit says beta features have very limited availability and may change, so you may not see everything listed yet.
- Monthly caps. Chat and automations are limited per month, and the limits aren't published.
- It can be wrong. A wrongly categorised expense can change your tax bill. Check what it suggests, especially for mixed personal and business spending.
- Your data. Intuit says the AI is backed by enterprise-grade security. You are still feeding it customer names and money figures, so make sure your privacy notice covers your bookkeeping software, as it should already.
- It's not advice. For anything about what you can claim or when to register, use HMRC's guidance or an accountant. See can AI do my bookkeeping?
