Best AI tools for bookkeepers (UK): clients, receipts and admin

These are the best AI tools for bookkeepers in the UK, picked job by job: accounting software, receipts and bank feeds, client emails and chasing, onboarding and money laundering checks, call notes and Making Tax Digital. It links to the AI for accountants and bookkeepers hub. It's written for people who keep books for clients; if you do your own books, see AI bookkeeping for sole traders. The wins are fewer chasing emails, faster month-ends and clean records, without putting client data where it shouldn't go.

Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate.

Software and receipts

Most practices work in whatever the client already uses: Xero, QuickBooks, FreeAgent, Sage or Zoho Books. Their built-in receipt capture, bank rules and suggested matches do most of the "AI" work. Use a general chatbot for explaining a ledger to a client or drafting a month-end checklist, not for categorising real transactions.

Money laundering supervision

If you provide professional bookkeeping services to clients, you're an accountancy service provider under the money laundering regulations. You must register with HMRC for supervision unless you're supervised by a professional body (such as AAT, ICB or IAB) or all your customers are themselves supervised, and you must carry out customer due diligence even if you provide services virtually (GOV.UK: ASP registration, checked 18 October 2026). AI can draft your onboarding checklist and risk assessment template; the judgement stays yours.

Client data and AI

Client records are personal and financial data. Use business plans whose terms say your data isn't used for training, switch off chat history where you can, and write a short AI policy for anyone who helps you. Never paste bank statements, UTRs or National Insurance numbers into a free chatbot.

Making Tax Digital

Sole traders and landlords with qualifying income over £50,000 have had to keep digital records and send quarterly updates since 6 April 2026; the threshold is £30,000 from April 2027 and £20,000 from April 2028 (see our Making Tax Digital guide). Use the MTD checker with clients, and AI to draft the explainer email.

Chasing, emails and call notes

Most of a bookkeeper's week is chasing receipts. Copilot or Gemini can draft polite reminders inside your email; Fyxer sorts the inbox and drafts replies in your style. Write fee reminders with the payment reminder generator. If you record client calls with Fathom, tell the client first. To show a client how to snap and upload receipts, a short screen recording with Loom (free Starter plan) saves repeating yourself.

FAQ

Do bookkeepers need money laundering supervision?

Yes, if you provide professional bookkeeping services to clients. Register with HMRC unless a professional body such as AAT, ICB or IAB supervises you, or all your customers are themselves supervised.

What is the best accounting software for a bookkeeper?

Usually whatever your clients use. Xero Ignite was £18 a month excl. VAT and FreeAgent £19 for sole traders; Zoho Books has a free plan.

Can I use ChatGPT with client data?

Not on a free personal plan. Use a business plan whose terms say your data isn't used for training, and never paste bank statements, UTRs or National Insurance numbers.

Can AI chase clients for receipts?

It can draft the reminders and an email assistant can sort replies. Keep the tone friendly and the deadlines clear.

Does Making Tax Digital affect my clients?

Sole traders and landlords with qualifying income over £50,000 joined on 6 April 2026; the threshold drops to £30,000 in April 2027 and £20,000 in April 2028.
