Email signature generator
Make a clear email signature in plain text and HTML: your name, role, phone, website and, for a limited company, the details company law requires on business letters, order forms and websites. It runs in your browser and nothing is stored.
How to use it
- Fill in your name, contact details and, for a limited company or LLP, the registered name, number, where it's registered and the registered office.
- Copy the plain-text version into your phone's email app, and the HTML version into Gmail or Outlook signature settings.
- Keep it short: name, role, business, phone, website and the legal line.
- Your website must show the same company details, usually in the footer.
Worked example
A director of Shah Electrical Services Ltd, trading as Shah Electrical, gets a signature with her name and role, the trading name, phone and website, and a small line: "Shah Electrical Services Ltd. Registered in England and Wales, company number 12345678. Registered office: 1 High Street, Leeds LS1 1AA."
The UK rules behind it
- Company details. A company must show where it's registered, its registered number and its registered office address on its business letters, order forms and websites (Trading Disclosures Regulations 2015, regulation 25, checked 18 October 2026).
- Company name. GOV.UK says you must include your company's name on all company documents, publicity and letters, and if you list directors' names you must list all of them (GOV.UK: running a limited company).

Questions
What should a business email signature include?
Your name, role, business name, phone and website. For a limited company, add the registered name, where it's registered, the company number and the registered office.
Does a limited company have to put its company number on emails?
Companies must show their registered number, place of registration and registered office on business letters, order forms and websites. Adding them to email signatures is the safe choice.
Do sole traders need anything in an email signature?
No company details are needed, but include your name and how to contact you. Add your VAT number if you're registered and find it useful.
Should I add a logo to my email signature?
A small one is fine. Large images can be blocked or look broken on phones, so keep the text version clear without it.
Can I list just one director in my signature?
GOV.UK says if you include directors' names on company documents, you must list all of them. It's simpler to include only your own name and role.
