Appointment reminder generator
Write a short appointment reminder text or email with the date, time, address and how to rearrange. It keeps out offers and promotions, so it stays a service message under UK rules. It runs in your browser and nothing is stored.
How to use it
- Send a reminder the day before for most appointments, and a week before for long or costly ones.
- Always include the date, time, address and how to rearrange. Customers who can rearrange easily are less likely to simply not turn up.
- Keep it to the appointment. Don't add offers or "while you're here" upsells.
- Most booking apps can send reminders automatically; paste this wording into their reminder template.
Worked example
A physio clinic texts Priya the day before: "Hi Priya, a reminder of your follow-up session with Northside Physio tomorrow, Thursday 22 October at 10:30am at 12 High Street, Leeds LS1 4AB. Please wear loose clothing. If you need to rearrange, please let us know at least 24 hours before on 0113 496 0000."
The UK rules behind it
- Reminders are service messages. The ICO says messages that confirm or remind people about appointments are service messages, not direct marketing (ICO: identify direct marketing, checked 18 October 2026).
- Adding a promotion changes that. If a service message also contains direct marketing, even when that is not its main purpose, the ICO says it counts as direct marketing, and the marketing consent rules apply. General branding or a logo is fine.
- Personal data. Only use contact details for the purpose the customer gave them, and keep them secure (ICO: data protection principles).

Questions
What should an appointment reminder say?
Who it's with, the date and time, the address, anything to bring and how to rearrange. Keep it short enough to read at a glance.
When should I send an appointment reminder?
The day before suits most appointments. For long or expensive ones, a week before plus the day before works well.
Do I need consent to send appointment reminders?
The ICO treats appointment reminders as service messages, not marketing, so the marketing consent rules don't apply, as long as the message contains no promotion.
Can I add an offer to a reminder?
If you do, the ICO says the message counts as direct marketing, so you'd need the customer's consent or the soft opt-in. Keep reminders to the appointment.
Text or email?
Text is read faster and suits day-before reminders. Email suits longer notes, such as what to bring or parking details.
