Google review reply generator

Write a reply to a Google review in seconds: thank happy customers, and answer a bad review calmly with an offer to sort it out offline. Replies never include the customer's details. It runs in your browser and nothing is stored. Optional: copy the ChatGPT prompt to make it sound more like you.

How to use it

  1. Fill in the reviewer's first name as it appears on Google, the stars and the job type. Keep the job general: "boiler service", not the street.
  2. Copy the reply into your Google Business Profile. Optional: paste the prompt into ChatGPT to make it sound more like you.
  3. For a bad review, call the customer before you reply if you can. Then reply publicly in a calm, short way.

Worked examples

5 stars: "Thanks so much, Mark. Really glad you noticed turning up on time and explaining everything. It was good to help with your boiler service, and we appreciate you taking the time to leave a review." 1 star, we'll sort it: "We're sorry to read this, Mark. This isn't the standard we aim for on any boiler service, and we'd like to put it right. Please contact Dave directly on 01234 567890 so we can look into it properly."

The rules behind the replies

  • Google. Google says to keep replies short, polite and professional, never share the reviewer's private information, and sign with your name. Offering anything to post, change or remove a review counts as fake engagement and is prohibited (Google Business Profile Help, checked 17 October 2026).
  • Fake and incentivised reviews. Since 6 April 2025, fake reviews and hiding incentivised reviews are banned practices under the Digital Markets, Competition and Consumers Act 2024 (CMA short guide on GOV.UK). Don't offer anything to change or remove a review.
  • Personal data. A public reply that reveals a customer's address, job details or what they told you privately can breach UK GDPR. Keep it general (ICO).

Questions

Is there a free Google review reply generator?

Yes. This page writes replies to good, mixed and bad Google reviews in your browser for free, with no sign-up. Review tools such as NiceJob and Podium include reply features on paid plans.

How do you reply to a bad Google review?

Reply quickly, keep it short and calm, apologise for the experience without arguing the details, and give a direct way to contact you. Never reveal the customer's details or offer anything to remove the review.

Should I reply to every Google review?

Google says you don't need to thank every reviewer publicly; reply when you have something useful to add. In practice, a short reply to most reviews and a careful reply to every negative one is a good habit for a small business.

Can AI reply to Google reviews for me?

AI can draft replies, and some tools post them automatically. Check every reply before it goes live, especially for bad reviews, so it doesn't promise refunds or mention private details.

Can I ask a customer to remove a bad review?

You can ask a customer to update a review after you've sorted the problem, but you must not offer money, discounts or gifts in return. You can flag reviews that break Google's policies.
