Can AI do my bookkeeping?
Short answer
Partly. Bookkeeping apps now use AI to read receipts, match them to bank transactions and suggest categories, which takes much of the typing out. You still need to check the categories, deal with odd items, and make sure the records are complete and right. ChatGPT on its own isn't bookkeeping software and shouldn't hold your bank data.
What AI does well
- Reads photos of receipts and supplier invoices
- Matches payments in your bank feed to invoices and receipts
- Learns your usual categories ("Screwfix = materials")
- Flags duplicates and missing receipts
- Drafts payment reminders when invoices go overdue
What still needs you
- Splitting personal and business spending, and mixed-use costs
- Capital items such as tools and vans; see van costs for sole traders
- CIS deductions and VAT treatment, especially the domestic reverse charge
- Anything unusual: refunds, cash jobs, loans
- Signing off the figures you send HMRC
Making Tax Digital
Since 6 April 2026, sole traders and landlords with qualifying income over £50,000 in 2024 to 2025 have had to keep digital records and send quarterly updates with compatible software. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028. Choosing HMRC-recognised software with AI features covers both jobs. See our Making Tax Digital guide and MTD checker.
Which apps?
Xero, QuickBooks, FreeAgent, Sage and Zoho Books all offer bank feeds and automatic suggestions; prices and AI features differ. Compare them in Xero vs QuickBooks, Xero vs FreeAgent and our best free invoicing apps.
Where ChatGPT helps
Use it to explain a term, sort an anonymised list of costs into likely categories, or write questions for your accountant. Don't upload bank statements to a personal account.
Related questions
Will AI replace my bookkeeper or accountant?
It reduces data entry, but judgement on tax, VAT and year-end still needs someone qualified.
Is AI bookkeeping accurate?
Suggestions are often right for regular suppliers and wrong for one-offs. Review every month rather than once a year.
