AI scheduling tools for landscapers and gardeners in the UK

Landscapers and gardeners run two businesses at once: regular maintenance rounds that repeat every week or fortnight, and project work such as patios and planting that's quoted and booked weeks ahead. Both are at the mercy of the weather and the season. Scheduling software keeps rounds tight, slots projects round them, and makes rain days easier to recover from.

Prices were re-checked on each provider's own page; the date is next to each one. Rules and figures from GOV.UK are linked where they're used.

Maintenance rounds

Set regular customers up as recurring jobs so each week builds itself. ServiceM8 includes recurring jobs on all plans and is priced by jobs a month; Jobber lists online booking and, on its Connect plan, automated client reminders. Group rounds by area to cut driving, and if you employ staff remember that travel between jobs counts as working time for minimum wage purposes (GOV.UK).

Spraying and waste on the job sheet

Anyone using a professional weedkiller or other pesticide must hold a recognised certificate, or work under direct supervision of someone who does (HSE). Recording which staff hold which certificate against each job stops an unqualified worker being sent to spray. If you take green waste away, you need to be registered as a waste carrier (GOV.UK).

Projects around the rounds

Book project days as blocks and keep the rounds moving on the days either side. Customers booking a quote visit can pick a slot themselves with Calendly, which has an always-free plan for basic booking (checked 14 October 2026).

What to check before you choose

  • Recurring jobs on every plan or only higher tiers?
  • Per-job pricing (ServiceM8) against per-user pricing (Tradify, YourTradebase).
  • Can you record certificates (spraying) and waste notes against jobs?
  • Can you shift a whole rained-off day in one go and tell customers?
  • Seasonal pause: can you pause a recurring job over winter without deleting it?

A prompt to start with

Paste this into ChatGPT or Claude, filling in the brackets:

You plan the week for [business name], a landscaping and garden maintenance business in [area]. Here are the regular customers with postcodes, visit length and frequency: [paste], and the project jobs with estimated days: [paste]. Build a plan that keeps rounds grouped by area, fits projects in whole days, and lists what moves if [day] is rained off.

Questions

What's the cheapest way to run maintenance rounds?

ServiceM8's free plan covers 1 user and 30 jobs a month, with recurring jobs included. Checked 15 October 2026.

Do I need a certificate to use weedkiller for customers?

For products authorised for professional use, yes: HSE says users need a recognised certificate or direct supervision by someone who has one.

Are these prices in pounds?

Not all. Where a provider only publishes US dollar prices we show dollars, so check the price in pounds at checkout.
