Booking confirmation generator
Write a clear booking confirmation by email or text: what's booked, when, where, the price, any deposit and your cancellation terms. Bookings made online or by phone need written confirmation the customer can keep. It runs in your browser and nothing is stored.
How to use it
- Send the confirmation as soon as the booking is made, by email or text, so the customer has it in writing.
- Include the total price, any deposit and what's left to pay, so there are no surprises on the day.
- Put your cancellation terms in plain words. The cancellation policy generator helps you write them.
- Send a reminder nearer the time with the appointment reminder generator.
Worked example
A dog groomer confirms Sam's booking: a £55 full groom on Saturday 7 November at 9:00am, £10 deposit paid, £45 due on the day, free to move up to 48 hours before. The email ends with how to change the booking and asks Sam to keep it for reference.
The UK rules behind it
- Information in a form they can keep. For bookings made by phone, mail order or text, you must give your business details, the price including taxes, conditions for deposits and how to cancel, on paper, by email or another format the customer can save (GOV.UK: distance selling, checked 18 October 2026).
- 14 days to cancel a service. If you don't tell the customer about their right to cancel, they can cancel at any time in the next 12 months (GOV.UK). Distance selling rules don't apply to goods and services worth £42 or less.
- Starting early. You must not start a service within the cancellation period unless the customer expressly asks; if they then cancel, they pay an amount in proportion to what you've supplied (Consumer Contracts Regulations, regulation 36).
- Confirmations are service messages. The ICO says messages that confirm appointments aren't direct marketing (ICO).

Questions
What should a booking confirmation include?
What's booked, the date and time, the address, the total price, any deposit and balance, your cancellation terms and how to make changes.
Do I have to send a booking confirmation?
For bookings made online, by phone or by text, the law requires the key information and cancellation details in a form the customer can keep, such as an email. It's good practice for every booking.
Can customers cancel a service booked online?
Usually yes, within 14 days of booking. If they ask you to start within that time and then cancel, they pay for what you've done. The distance selling rules don't apply to bookings of £42 or less.
Should the confirmation mention the deposit?
Yes: the amount, what's left to pay and when the deposit is kept or refunded. GOV.UK lists conditions for deposits among the information you must give.
Is a booking confirmation marketing?
No. The ICO treats confirmations as service messages. Keep offers out so it stays that way.
