AI bookkeeping for sole traders (UK): what it can do, apps and MTD

AI bookkeeping for sole traders in the UK mostly means accounting apps that read your receipts, match bank transactions and suggest categories, plus a chatbot to explain things in plain English. It can cut the weekly admin to minutes. It can't take responsibility for your tax return: that stays with you. This guide covers what AI does well, the apps that include it (prices checked 15 October 2026), the Making Tax Digital dates that now apply to many sole traders, and a simple weekly routine. Short answer to the common question: can AI do my bookkeeping?

Making Tax Digital: the dates that matter

Making Tax Digital for Income Tax applies to sole traders and landlords by qualifying income, which is turnover before expenses (GOV.UK):

Qualifying income overIn the tax yearYou use MTD from
£50,0002024 to 20256 April 2026
£30,0002025 to 20266 April 2027
£20,0002026 to 20276 April 2028

Once you're in, you keep digital records and send quarterly updates by 7 August, 7 November, 7 February and 7 May, and still file a tax return by 31 January. Check your own date with the Making Tax Digital checker, and check your app is on HMRC's compatible software list. An app that reads receipts and categorises transactions as you go makes quarterly updates far less painful.

Keeping records

Sole traders must keep records of all sales and income and all business expenses, and keep them for at least 5 years after the 31 January submission deadline for that tax year (GOV.UK, checked 17 October 2026). Keep receipts somewhere you can find them; an accounts app that stores a photo with each transaction makes that easy.

A 15-minute weekly routine

  1. Snap receipts as you buy, in your accounts app.
  2. Once a week, open the bank feed and confirm the suggested categories. Fix anything odd; the app learns.
  3. Match payments to invoices, and send a reminder for anything overdue.
  4. Each quarter, check the totals look right and submit your MTD update if it applies to you.
  5. Before 31 January, estimate your bill with the self-employed tax calculator and check your payments on account.

Low income? The £1,000 trading allowance may mean simpler records. Thinking about a company? Compare with the sole trader vs limited company calculator.

For trades

On CIS, keep every payment and deduction statement; an app with CIS (QuickBooks, Sage) helps reconcile them. See how CIS tax is calculated, invoicing apps for tradesmen and the trade pages: bookkeeping for builders, bookkeeping for plumbers, bookkeeping for cleaners. FAQ

Can AI do bookkeeping for a sole trader?

AI can do much of the routine work: reading receipts, suggesting categories and matching payments. You still need to check it and you're responsible for what goes to HMRC.

What is the best bookkeeping app for a sole trader in the UK?

FreeAgent (£19 a month, or free with some bank accounts), QuickBooks Sole Trader Plus, Xero Ignite (£18) and Sage Start (£20) are the common choices; Zoho Books has a free plan. Pick one on HMRC's Making Tax Digital list.

Do sole traders need Making Tax Digital software?

Yes, if your qualifying income was over £50,000 in 2024 to 2025 (from 6 April 2026), over £30,000 in 2025 to 2026 (from April 2027) or over £20,000 in 2026 to 2027 (from April 2028).

Can I use ChatGPT for my accounts?

For explanations and drafting, yes. Don't use it to keep your books or decide what's allowable, and don't paste in bank statements or customer details.

How long do sole traders need to keep records?

At least 5 years after the 31 January submission deadline for the tax year. For 2025 to 2026, filed by 31 January 2027, that means until at least the end of January 2032.

Do I still need an accountant if I use AI bookkeeping?

Not always. Many sole traders with simple books manage with an app. An accountant is worth it if you have CIS, VAT, property income or you're unsure what you can claim.
