A cheap AI toolkit for UK sole traders (mostly free)

Running a one-person business, you don't need a stack of subscriptions. This guide puts together a toolkit that starts at £0 a month using free plans, then shows the few paid upgrades worth considering. Every price was checked on the provider's page on 14 October 2026; US-dollar prices are shown as published.

The £0 starter kit

| Job | Tool | What's free |

|---|---|---|

| Writing emails, quotes and posts | ChatGPT or Claude | Free plans with everyday chat |

| Graphics, leaflets and social posts | Canva | Free plan with templates, 5 GB storage and limited AI uses |

| Online bookings | Calendly | Always-free plan for basic scheduling |

| Scheduling social posts | Buffer | Free plan, up to 3 channels |

| Business bank account | Tide | Free plan with no monthly fee (transaction fees vary) |

| Spelling and grammar | Grammarly | Free plan |

| Google reviews | Google Business Profile | Free |

That covers the basics for £0 a month. The trade-off is limits: fewer uploads and AI uses, and fewer features.

Accounts: the one area worth paying for

HMRC's Making Tax Digital rules mean many sole traders need compatible software; check on GOV.UK whether it applies to you. That makes accounting software the most likely paid tool you'll need. Published UK prices:

If you bank with NatWest, RBS, Ulster Bank or Mettle, check whether you qualify for free FreeAgent before paying for anything.

Paid upgrades worth considering

Only pay when a free plan holds you back:

A sensible order to set things up

  1. Bank account and accounts software first: they matter for tax.
  2. Google Business Profile: free, and it's how local customers find you.
  3. One AI assistant on its free plan, with our free prompts.
  4. Canva and Buffer when you start posting regularly.

FAQ

Can I run a business on free AI tools only?

For writing, design and bookings, yes, within each free plan's limits. Accounting software is the one area where most sole traders end up paying, unless their bank includes it.

Do I need an AI policy as a sole trader?

It helps to write down one rule: never put customer personal details into an AI tool. See our AI policy template.
