How do I add ChatGPT to Microsoft Teams?
Short answer
There are two ways. You can connect Microsoft Teams inside ChatGPT, so ChatGPT can search and summarise your Teams chats. Or, on ChatGPT Business, Enterprise or Edu, an administrator can install @ChatGPT inside Teams so people can mention it in a channel. Both need your Microsoft work or school account, and your IT admin may need to approve them.
Option 1: connect Teams inside ChatGPT
This brings your Teams content into ChatGPT. You stay in ChatGPT and ask questions about your chats.
- In ChatGPT, open Settings, then Apps (or Plugins, depending on your version).
- Find Microsoft Teams and choose Connect.
- Sign in with the Microsoft work or school account you use for Teams.
- Review the permissions Microsoft shows you and approve them.
- Back in ChatGPT, ask things like "summarise this week's Teams messages about the Jones refurbishment".
OpenAI says the app can only see Teams content your account already has access to. Depending on the permissions your organisation allows, it can also send messages or manage Planner tasks. Availability depends on your ChatGPT plan, your location, your workspace settings and your organisation's Microsoft Entra policies. Personal Microsoft accounts are not the target; this is built for work or school accounts.
Option 2: @ChatGPT inside Teams (Business, Enterprise and Edu)
This puts ChatGPT into Teams, so colleagues can type @ChatGPT in an approved channel.
- It is available on ChatGPT Business, Edu and Enterprise, not on Free, Go or Plus.
- A ChatGPT workspace owner or admin sets it up in the OpenAI admin console.
- The person completing the Microsoft side needs a Global Administrator or Privileged Role Administrator role in your Microsoft 365 tenant.
- Your workspace needs credits, because usage through @ChatGPT is billed against them.
- @ChatGPT has its own service account and only reaches the company tools your admin connects to it. Replies in a shared channel are visible to everyone in that conversation.
Which option suits a small business?
| You are | Best option |
|---|---|
| A sole trader or small team on ChatGPT Plus | Option 1, if your Microsoft account allows it |
| A team on ChatGPT Business with Microsoft 365 | Option 2 for shared use, Option 1 for personal summaries |
| A business that only uses Microsoft 365 | Consider Microsoft Copilot, which is built into Teams. See which Copilot is best for business? |
Permissions and data: what to check
- Admin consent: many Microsoft 365 tenants block third party apps until an admin approves them. If the Connect step fails, ask your IT support.
- What it can read: it can read every chat your account can see, including HR or client chats. Think about whether that is appropriate.
- What it can do: if you allow actions, it could post messages for you. ChatGPT asks before higher risk actions such as sending a message, depending on your permission settings. Keep sending on "ask first".
- Data protection: client names and personal details in Teams chats are personal data under UK GDPR. ChatGPT Business does not train on your data by default; personal plans have different controls. See are ChatGPT chats private?
A worked example
An office manager at a ten person electrical firm connects Teams to ChatGPT. Each Friday she asks: "List the jobs mentioned in the site chat this week, with any materials still to order and who said they would order them." She checks the list against the job sheets, then asks ChatGPT to draft a short update for the Monday meeting. It saves her reading back through hundreds of messages, but she still checks the details before sending.
Common mistakes
- Trying to connect a personal Microsoft account and assuming it is broken.
- Allowing all actions, then being surprised when a message is sent without a final check.
- Expecting meeting transcripts. For meeting notes, Teams' own recap features are usually better. See how to use AI meeting notes in Microsoft Teams
- Setting up @ChatGPT without telling staff what it can read.
