Can AI proofread a document?
Short answer
Yes. AI tools like ChatGPT, Claude, Gemini, Copilot in Word and Grammarly can proofread for spelling, grammar, punctuation and clarity. Ask for British English and for a list of changes rather than a silent rewrite. AI still misses some errors, can change your meaning and should not be trusted with legal wording without a human check.
How to proofread with AI
- Paste the text or upload the document.
- Use a clear prompt: "Proofread this in British English. Fix spelling, grammar and punctuation only. Do not change the meaning. List each change in a table."
- Review each change before accepting it.
- For style, ask separately: "Suggest ways to make this clearer for a customer."
Which tool to use
| Tool | Good for | Cost |
|---|---|---|
| Word Editor | Built-in spelling and grammar checks | Included with Word |
| Copilot in Word | Rewriting and summarising in your document | Microsoft 365 plans |
| Grammarly | Live suggestions as you type | Free plan, paid Pro |
| ChatGPT, Claude, Gemini | Checking letters, quotes and web copy | Free plans with limits |

What AI misses
- Wrong but correctly spelt words, such as names, prices and dates.
- Facts. A proofreader checks words, not whether a figure is right.
- Tone with an upset customer, which needs your judgement.

Will people know AI proofread my work?
Light proofreading does not make text sound like AI. Heavy rewriting can, so keep your own voice.
