Can AI reply to text messages for my business?
Short answer
Yes. AI tools can answer customer texts and WhatsApp messages, reply automatically when you miss a call, answer common questions and book appointments into your calendar. Replying to a customer who messaged you first is a service message. Sending marketing texts is different: under UK PECR rules you need consent, or the soft opt in for existing customers.
What AI texting can do
- Missed call text back: when you cannot answer, the system texts the caller straight away, asks what they need and collects details.
- FAQ replies: opening hours, areas covered, call out charges, whether you do a certain job.
- Booking: offering available slots and adding the job to your calendar.
- Quote follow ups: a polite reminder a few days after you send a quote.
- Review requests: a text after the job asking for a Google review.
- Handing over: passing anything complex, angry or urgent to you with a summary.
Ways to set it up
| Option | Good for | Things to know |
|---|---|---|
| WhatsApp Business app | Sole traders who live on WhatsApp | Free, with greeting messages, away messages and quick replies. Not full AI, but covers a lot |
| AI receptionist services | Trades and clinics that miss calls | Answer calls and texts, book jobs. Monthly fee. See what is an AI receptionist? |
| Customer messaging platforms such as Podium | Busy local businesses | Combine texts, web chat and reviews in one inbox |
| Your job management software | Firms already on Jobber, Tradify or similar | Some include automated texts for bookings and reminders |
Prices vary widely, from free WhatsApp tools to monthly subscriptions. Check whether texts are charged per message on top.
UK rules you need to follow
Replies are usually fine. If a customer texts you, or you text them about a job they asked for, that is a service message. AI can reply.
Marketing needs permission. Under the Privacy and Electronic Communications Regulations (PECR), you can only send marketing texts to individuals who have consented, or under the "soft opt in": they are existing customers, or bought or asked about something, you are marketing your own similar products or services, and you gave them a simple way to opt out when you collected their number and in every message. A text saying "10% off boiler services this month" to old enquiries is marketing.
Personal data rules apply. Customer messages contain names, addresses and sometimes photos. Under UK GDPR you must keep them secure, tell customers how you use their data in your privacy notice and check where your AI provider stores the data. See what is UK GDPR?
Be honest that it is automated. Customers should not be misled into thinking they are texting you personally when they are not. A line such as "This is Smith Plumbing's assistant" is enough.
How to set it up safely
- Write down the 10 questions customers ask most, with your real answers.
- Give the AI those answers and clear limits: no prices it cannot confirm, no promises on dates, no advice on gas or electrical safety.
- Set a rule to hand over to you for complaints, emergencies and anything it is unsure about.
- Test it yourself from another phone with awkward questions.
- Check the conversation log every day for the first fortnight and fix wrong answers.
A worked example
A locksmith misses about a third of calls while on jobs. He sets up missed call text back: "Sorry I missed you, this is Dan's Locks. Are you locked out now, or is it for a lock change? Reply with your postcode." Lockouts get flagged to his phone as urgent. Lock change enquiries get offered booking slots. Previously, many missed callers simply rang the next locksmith. Now they get a reply in seconds.
Common mistakes
- Letting AI quote prices or arrival times it cannot guarantee.
- Texting marketing offers to everyone who ever enquired, without consent or an opt out.
- No human hand over, so urgent problems sit in a queue.
- Forgetting to update the AI when prices or hours change.
