Can employers tell if you use AI at work?
Short answer
Sometimes. If you use AI through a work account, such as Copilot or ChatGPT Business, your employer's IT team can usually see usage and may review content. Work devices and networks can also log which websites you visit. AI text detectors, however, are unreliable. Under UK data protection law, employers should tell you how they monitor you.
How employers can find out
- Work AI accounts: admins of Microsoft 365 Copilot, ChatGPT Business or Gemini for Workspace can see who uses them and, depending on settings, audit content.
- Device and network monitoring: security software on work laptops can log the websites and apps you use.
- Data loss prevention tools: these can flag when you paste company data into a public AI tool.
- Your work itself: repeated errors, generic wording or invented facts can give it away.
What UK law says about monitoring
The ICO's guidance on monitoring workers says employers must have a clear reason, use the least intrusive method and tell staff what is monitored and why before it starts. Covert monitoring is only justified in exceptional cases, such as suspected crime. You can ask for the data held about you with a subject access request.
How to use AI at work safely
- Check your employer's AI policy and stick to approved tools.
- Never paste customer data, passwords or confidential plans into a personal AI account.
- Check facts and figures before you send anything.
- Be open about using AI where it matters.
