Self Assessment checklist: what to keep for your 2025-26 tax return

A tick-box records checklist, so nothing is missing when you sit down to do the return. It covers:

  • Income: sales invoices, bank statements, card and online payment reports, cash takings, refunds and credit notes, grants and other business income
  • Costs: receipts, supplier statements, van and fuel records, insurance, phone and internet bills, accountant fees
  • Mileage and travel: your mileage log, odometer readings at 6 April 2025 and 5 April 2026, parking and other travel receipts
  • CIS and tax already paid: CIS deduction statements, PAYE (P60 or P45), payments on account already made, last year's tax calculation
  • Other income and getting ready to file: interest, dividends, rental and pension income, other jobs, and a ready-to-file list (Government Gateway sign-in, UTR, National Insurance number, bank details)
Self Assessment checklist and records tracker for the 2025-26 UK tax return with income and expenses summary page

Income and expenses summary page

One page to total the year from your own records: total income, 14 cost categories, a mileage box and the profit line. There is a trading allowance check beside it. If your trading income is over £1,000 you can deduct the £1,000 allowance instead of your costs, but not both, so work out which gives the smaller taxable profit or ask your accountant.

The mileage box has write-in fields for the rate rather than a printed figure, because the flat rates changed on 6 April 2026. Use the rates on GOV.UK for the tax year of your return. You cannot use a flat rate for a vehicle you have claimed capital allowances for.

Key Self Assessment dates

A dates page you can tick off. The main ones for the 2025/26 return, from GOV.UK:

  • 30 December 2026: file online by this date if you want to pay what you owe through your tax code
  • 31 January 2027: online return and tax for 2025/26 due by 11:59pm, and the first payment on account towards 2026/27 if you have to make one
  • 31 July 2027: second payment on account, if you have to make one

Your own dates can differ, for example if you registered late. The page also summarises the late filing and late payment penalties from GOV.UK. Always check GOV.UK for what applies to you.

Payments on account reminder

A worksheet that follows the HMRC bill step by step: your 2025/26 bill (tax and Class 4 National Insurance after CIS and PAYE), payments on account already made, the balancing payment, the first payment on account for 2026/27 and the second one in July. You copy the figures from your HMRC tax calculation. A separate tax set-aside tracker for 2026/27 lets you put money aside each month so the bill is no surprise.

You do not make payments on account if last year's bill was under £1,000, or if you paid over 80% of it outside Self Assessment. See GOV.UK.

Who it is for

UK sole traders, including CIS subcontractors, who want their records and key dates in one place before the 31 January deadline. It is a record-keeping tool. It does not file your return, it does not work out your tax for you, and it is not an HMRC product. Check GOV.UK or ask your accountant what applies to you.

Questions about Self Assessment records

Is it tax advice?

No. It is a record-keeping tool with figures and dates taken from GOV.UK. Check GOV.UK or ask your accountant what applies to you.

Which tax return is it for?

The return for the 2025/26 tax year (6 April 2025 to 5 April 2026), due online by 31 January 2027. It also has a set-aside tracker for 2026/27.

What is included?

Eleven printable pages, as an A4 PDF and a US Letter PDF: a records checklist, an income and expenses summary page, a key dates page, a payments on account worksheet and a set-aside tracker for 2026/27.

Can I type into the PDF?

No. It has no fillable fields. It is made to print and fill in by hand.

Does it file my return?

No. You still file through HMRC or your accountant. The tracker helps you gather and total your records first.

Is it approved by HMRC?

No. It is not an HMRC product and we do not claim it is.

Can I get a refund?

Yes. Email hello@theaitill.com within 14 days and we will refund you in full. See the terms.

What do I get after paying?

Your download page opens straight after payment, and we email the link from hello@theaitill.com. You get an A4 PDF and a US Letter PDF.

Why does checkout ask for a UK address?

We only sell to buyers in the UK for now. Nothing is posted: it is a download.

Did this work for you? We are testing these trackers with real people before we sell them anywhere else. If you try it, tell us what worked and what did not. A line or two is plenty.

Not tax advice. This is a record-keeping tool. It is not tax, legal or accounting advice, and it is not an HMRC product. Rates and dates are from GOV.UK as checked in October 2026 and can change, so check GOV.UK or ask your accountant what applies to you. See our terms.
