Best AI tools for tutors (UK): bookings, lesson prep and admin
These are the best AI tools for private tutors in the UK, picked job by job: bookings and payments, lesson preparation, parent updates, cancellations, safeguarding and data, marketing and accounts. It links to the AI for tutors hub and sits alongside our free AI tools for small business guide. AI helps most with preparation and writing: practice questions, explanations at different levels, and short progress notes for parents. You still check every answer.
Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate.

Lesson preparation
AI assistants are good at drafting practice questions, worked examples, mark schemes and explanations at different levels, and at turning a past mistake into five similar questions. They also get maths and facts wrong with confidence. Check every answer before you use it, and match questions to the exam board specification yourself. Use your own words or properly licensed materials for anything you hand out. Prompts: ChatGPT prompts for tutors. Comparing assistants: ChatGPT vs Claude vs Gemini for business.
Bookings, packages and cancellations
A booking link with your real free slots saves a lot of messaging; Calendly's free plan is enough to start. Many tutors sell blocks of sessions or termly packages. Set the cancellation rules fairly: a term requiring a consumer who cancels to pay a disproportionately high sum for services not supplied may be unfair under the Consumer Rights Act 2015 (Schedule 2, paragraph 5, checked 15 October 2026). Write it with the cancellation policy generator and your rates with the price list generator.
DBS checks and safeguarding
From 21 January 2026, eligible self-employed people, including GOV.UK's example of a private maths tutor, can apply for Enhanced or Enhanced with Barred List DBS checks through a DBS Umbrella Body; parents can't apply on the tutor's behalf (GOV.UK: DBS checks for self-employed people). Teaching children on more than three days in any 30-day period can fall within regulated activity (GOV.UK). Use the DBS tools on GOV.UK to check eligibility, not an AI summary.
Pupil data
Names, contacts and progress notes are personal data. Keep only what you need and store it securely, and don't paste children's names, schools or notes into consumer AI tools. If you run an online service likely to be used by children, the ICO's Age Appropriate Design Code sets standards. A simple rule for AI: describe the topic and the mistake, never the child.
Parent updates, reviews and marketing
AI turns a few bullet points into a clear, kind progress note for parents in seconds. Ask happy parents for a Google review, and never offer anything in return. Write your Google profile with the Google Business Profile description generator, and set a holiday reply with the out-of-office reply generator so parents know when you're back.
Accounts and tax
Most tutors are sole traders. Register by 5 October after the end of the tax year you started (GOV.UK). If you tutor on the side and earn little, check the trading allowance calculator; otherwise estimate your bill with the self-employed tax calculator.

FAQ
What is the best AI tool for tutors?
A general assistant such as ChatGPT, Claude or Gemini, free to start, for practice questions, explanations and parent notes. Check every answer, because they make mistakes with confidence.
Can private tutors get a DBS check?
Yes. From 21 January 2026, eligible self-employed people, including private tutors, can apply for Enhanced checks through a DBS Umbrella Body. Parents can't apply on the tutor's behalf.
Can I put pupils' work into ChatGPT?
Describe the topic and the mistake instead. Don't paste children's names, schools or personal details into consumer AI tools.
Can tutors charge for cancelled lessons?
Yes, if it's in terms the parent agreed to and it's fair. A charge that's disproportionately high compared with your loss may be an unfair term.
Do tutors need to register as self-employed?
If you tutor for profit beyond the £1,000 trading allowance, you'll usually need to register for Self Assessment by 5 October after the end of the tax year you started.
