Free AI tools every small business should try

You don't need to spend money to get real value from AI. The tools below all have a free plan you can use indefinitely, not just a 7-day trial. For each one we explain what it's good for, what the free plan includes, and where the limits are. Free plans change often, so we link to each provider's own page. Limits were checked on 14 October 2026.

A word before you start: anything you type into a free AI tool goes to that company's servers. Don't paste in customer personal data, passwords or anything confidential unless you've checked how the tool handles it. The Information Commissioner's Office has guidance on AI and data protection.

1. ChatGPT (free plan): your all-round assistant

What it's good for: drafting emails and quotes, rewriting text in a friendlier tone, summarising documents, brainstorming, and quick questions.

What the free plan includes: OpenAI says free users get unlimited everyday text chats, subject to abuse safeguards. You can also search the web, upload files and images, analyse data, create images, use GPTs and store 500 MB in its Library. Uploads, images, voice and data analysis have their own, stricter limits, and ChatGPT tells you when you hit one. OpenAI also says ads may appear on the free plan in some countries. (OpenAI help: ChatGPT free tier)

Try this: paste in a rough customer email you need to answer and ask for "a polite, short reply in British English that offers two times next week".

2. Claude (free plan): good for longer documents and careful writing

What it's good for: reading and summarising long documents such as contracts, tenders and policies, and producing tidy written drafts.

What the free plan includes: chat on web, desktop and mobile, web search, creating files and running code, memory across conversations, and Artifacts. Anthropic says usage limits reset on a rolling five-hour window and there's no fixed message count. (Claude pricing)

Try this: upload a supplier's terms and conditions and ask: "List anything here that could cost me money or tie me in, in plain English."

3. Gemini Notebook (formerly NotebookLM): ask questions of your own documents

What it's good for: putting your own material in one place, such as price lists, product manuals, procedures or meeting notes, then asking questions and getting answers drawn from those documents.

What the free plan includes: sign up free with a Google account. Google's help page lists 100 notebooks per user, 50 sources per notebook and 50 chats a day on the free tier, and says limits may change. NotebookLM was renamed Gemini Notebook in July 2026. (Gemini Notebook help: upgrade and limits, Gemini Notebook plans)

Try this: upload your staff handbook and supplier price lists, then ask "What's our refund policy for custom orders?" It's a quick way to build an internal help desk.

4. Canva Free: social posts, flyers and simple design with AI help

What it's good for: social media graphics, flyers, menus and simple presentations, with AI tools such as Magic Write and the background remover.

What the free plan includes: over 1.6 million templates, 5 GB of cloud storage, one Brand Kit (limited to three colours), and up to 200 uses of Canva's Standard AI tools or 20 uses of Premium AI tools each month. Canva's newest AI design assistant, Canva AI 2.0, is for paid plans only. (Canva pricing, Canva help: AI usage)

Try this: pick a template for your next offer, use Magic Write to draft the text, then resize it for Instagram and Facebook.

5. Otter.ai Basic: meeting notes without the typing

What it's good for: transcribing and summarising Zoom, Teams and Google Meet calls, or in-person meetings recorded on your phone.

What the free plan includes: 300 transcription minutes a month, a 30-minute limit per conversation, three file imports in total (not per month), and access to your 25 most recent conversations. (Otter pricing, Otter help: Basic plan limits)

Try this: record your next supplier call (tell them first) and ask Otter for a list of agreed actions.

6. Smith.ai AI Receptionist (free plan): answer calls you'd otherwise miss

What it's good for: answering the phone when you're on a job or out of hours, taking messages and booking appointments.

What the free plan includes: 25 calls a month with 24/7 answering, recordings, transcripts and summaries, then $3.00 per call. (Smith.ai pricing)

Watch out for: Smith.ai is US-based and prices in dollars, so check how it works with a UK number. For more options, read our guide to AI receptionist and call-answering tools.

7. Goodcall demo agent: try call answering without connecting a number

What it's good for: hearing what an AI phone agent would sound like for your business before you pay anything.

What's free: Goodcall lets you build, test and listen to a demo agent free. You only pay, from $79 a month, when you connect a phone number. (Goodcall pricing)

How to get started without wasting time

  1. Pick one job. Choose the task that eats most of your week, such as emails, quotes, social posts or meeting notes, and try one tool on it.
  2. Give it a week. Use it every day for that one job before deciding.
  3. Check its work. AI tools make mistakes and can state wrong facts confidently. Read everything before it goes to a customer.
  4. Upgrade only when you hit the limit. If a free plan keeps running out, that's your sign the tool is worth paying for.

FAQ

Is ChatGPT really free for business use?

ChatGPT has a free plan available to anyone with an account. It includes unlimited everyday text chats, subject to safeguards, with tighter limits on uploads, images and data analysis. Paid plans add higher limits and business features.

Which free AI tool is best for a small business to start with?

For most small businesses, a general assistant such as ChatGPT or Claude is the best first step, because it helps with emails, quotes and documents straight away.

Are free AI tools safe to use with customer data?

Be careful. What you type is sent to the provider. Avoid pasting in customer personal details or confidential information unless you've checked the provider's data terms and your UK GDPR obligations.

Do these free plans expire?

The plans listed here are ongoing free plans, not time-limited trials, according to each provider's page. Limits can change, so check the linked pages.
