Best AI tools for barbers (UK): bookings, no-shows and admin
These are the best AI tools for barbers in the UK, picked job by job: online bookings, no-shows and deposits, card payments, social posts, reviews, chair renters and accounts. It links to the AI tools for barbers hub and sits alongside our best AI tools for salons and hairdressers guide. In a barbershop the money is in a full book and fast turnarounds, so the wins are fewer empty chairs, quick replies to walk-in questions and less admin after closing.
Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate.

Bookings and no-shows
Booksy and Fresha are built for barbers and salons: online booking, reminders, deposits and a client list. Booksy is one price for all features (£40 a month plus VAT when we checked, with an optional Boost fee of 30% on new clients it brings you). Fresha's Independent plan was $19.95 a month, plus a 20% one-time fee on new clients from its marketplace. If you mostly take walk-ins and regulars, Square's free plan is enough to start.
For no-shows, a small deposit or a card on file works better than chasing. Keep the policy short and fair; write it with the cancellation policy generator and the message with the deposit request generator. The Consumer Rights Act 2015 lists a term requiring a consumer who doesn't go ahead to pay a disproportionately high sum as one that may be unfair (Schedule 2, paragraph 5, checked 18 October 2026).
Chair renters and staff
If you rent chairs, the arrangement must match reality. Whether someone is self-employed depends on how they actually work, not just the contract; check with HMRC's employment status tool (checked 18 October 2026). AI can draft a plain-English chair rental agreement and house rules, but get it checked if you're unsure. Apprentices and employees must get at least the National Minimum Wage.
Skin and hygiene
HSE says frequent contact with water and shampoo can irritate the skin and lead to dermatitis, and advises disposable non-latex gloves for shampooing and colouring, changing gloves between clients, drying hands thoroughly and moisturising (HSE: COSHH and hairdressers, checked 18 October 2026). AI is useful for turning that into a one-page staff checklist; it isn't a substitute for your COSHH assessment.
Posts, reviews and price lists
Before-and-after fades and beard work sell themselves. Use Canva for price boards and stories, write captions with the social media post generator, and set out prices with the price list generator. Ask happy clients for a Google review, never in return for a discount: fake and incentivised reviews have been banned practices since 6 April 2025 (CMA guide). Reply with the review reply generator. Prompts: ChatGPT prompts for barbers.
Accounts and tax
Most barbers are sole traders or small limited companies. Estimate your bill with the self-employed tax calculator, and check when Making Tax Digital applies to you: from 6 April 2026 for qualifying income over £50,000, then £30,000 from April 2027 and £20,000 from April 2028.

FAQ
What is the best booking app for barbers in the UK?
Booksy and Fresha are both built for barbers. Booksy was £40 a month plus VAT for all features; Fresha Independent was $19.95 a month plus a 20% fee on new marketplace clients. Square's free plan suits walk-in shops.
How do barbers stop no-shows?
Reminders, a short cancellation policy and a small deposit or card on file. Keep any charge in proportion to what you actually lose.
Can AI help with chair rental agreements?
It can draft a plain-English agreement and house rules. Whether a renter is self-employed depends on how they really work, so check HMRC's employment status tool.
Do barbers need gloves?
HSE advises disposable non-latex gloves for shampooing and colouring and changing them between clients, because wet work and some products can cause dermatitis.
Can I offer a discount for Google reviews?
No. Incentivised and fake reviews are banned practices under consumer law since 6 April 2025. Ask every client the same way, with no reward.
