Best AI writing tools for UK small businesses (2026)
For a UK small business, the best AI writing tool is usually a general assistant: ChatGPT or Claude, both free to start, will draft quotes, emails, web pages, job adverts and social posts from a few notes. Add Grammarly's free plan if you want a second check on spelling and tone everywhere you type. If your business lives in Outlook and Word, Microsoft 365 Copilot puts the same help inside those apps. Marketing-specific tools such as Jasper, Copy.ai and Writesonic only earn their higher prices for teams producing a lot of content.
Prices checked on each provider's own page; dates are shown. Updated 18 October 2026. Part of our best AI tools for small business UK guide.

How we chose
We tested each tool against the writing a small business actually does: a quote cover note, a reply to a complaint, a job advert, a "services" web page, a price-rise letter and a week of social posts. We checked prices on each provider's own page, whether the tool works where you write (browser, Word, Outlook, Gmail, phone), and how much editing the draft needed before it sounded British and like a real business. No provider paid for its place.
The tools in detail
ChatGPT: best free all-rounder
ChatGPT is the tool most small businesses start with, and for good reason: paste in your notes and ask for a quote cover email, a polite chaser or a Facebook post, and you get a usable draft in seconds. Projects let you keep your price list, tone of voice and standard terms in one place so you don't repeat them.
The free version is available to everyone, with limits on uploads and some features. Paid plans (Go, Plus, Business and Enterprise) are priced per user per month, and Business starts at 2 users. Ask for British English and UK context in your prompt.
- Good: quick, flexible, free to start; good on a phone.
- Watch: can sound generic or American unless you tell it otherwise; check any facts it adds.
- Price: Free. Paid plans per user per month; see the pricing page for the current amount. Checked 18 Oct 2026 (provider's pricing page).
Claude: best for longer documents and careful tone
Claude is strong on longer pieces where tone matters: a policy, a tender answer, a complaint reply or a page of website copy. Many people find its first drafts need less rewriting to sound natural, and it handles long documents you upload, such as a contract or a supplier's terms, well.
There is a free plan. Pro is $20 a month, or $17 a month on an annual plan ($200 billed up front). Higher-usage Max plans are also available. Prices are in US dollars.
- Good: natural tone; good with long uploads; free plan.
- Watch: free plan limits run out faster on long work; US-dollar pricing.
- Price: Free. Pro $20 a month or $17 a month on an annual plan. Checked 15 Oct 2026 (provider's pricing page).
Microsoft 365 Copilot: best inside Word and Outlook
If your day is spent in Outlook and Word, Copilot drafts and rewrites inside them, summarises long email threads and can turn a Word document into a first-draft PowerPoint. It works with your business files under your Microsoft 365 account, which some owners prefer to pasting text into a separate chatbot.
Microsoft lists Microsoft 365 Copilot Business from £13.80 per user a month on offer (normally from £16.10), paid yearly. Business Standard with Copilot is £18.10 and Business Premium with Copilot £24.60. Prices exclude VAT.
- Good: UK prices in pounds; works inside the apps you use; uses your own files.
- Watch: a cost per person on top of Microsoft 365; less useful if you don't use Office.
- Price: From £13.80 per user a month (offer; normally £16.10), paid yearly, excl. VAT. Checked 17 Oct 2026 (provider's pricing page).
Grammarly: best second pair of eyes
Grammarly is different from the others: rather than writing from scratch, it checks what you type in your browser, email and documents, flags spelling and grammar, and suggests clearer or friendlier wording. It is a good safety net for anyone who writes a lot of customer emails quickly.
The free plan covers the basics. Pro is listed at $12 USD (see the plans page for billing terms), with a 7-day free trial.
- Good: works everywhere you type; free plan; good for tone checks.
- Watch: not a full drafting tool; set your language preference to British English.
- Price: Free. Pro $12 USD; 7-day free trial. Checked 14 Oct 2026 (provider's pricing page).
Gemini: best for Gmail and Google Docs users
Gemini is Google's assistant. If your business runs on Gmail and Google Docs, it is the natural choice for drafting replies and documents without switching apps. It is also free with a Google Account.
Google AI Plus is $4.99 a month, Google AI Pro $19.99 a month and Ultra from $99.99 a month. Our check showed US-dollar prices; Google may show pounds to UK visitors.
- Good: free; fits Google Workspace; low-cost paid tier.
- Watch: features differ between personal and Workspace accounts.
- Price: Free. Google AI Plus $4.99 a month; Pro $19.99 a month. Checked 17 Oct 2026 (provider's pricing page).
Jasper: best for marketing teams with a brand voice
Jasper is built for marketing teams: brand voice settings, campaign templates and workflows for turning one idea into emails, ads and posts. It suits a business with a marketing person producing content every day, not an owner writing the odd post.
Pro is $69 per seat a month paying monthly, or $59 billed yearly. Business has custom pricing on a 12-month commitment. Jasper says it is SOC 2 Type II certified, with customer data hosted in US data centres.
- Good: brand voice and campaign tools; built for teams.
- Watch: expensive for one person; no free plan.
- Price: Pro $69 per seat a month or $59 billed yearly. Checked 18 Oct 2026 (provider's pricing page).
Copy.ai: best value for a small team sharing one plan
Copy.ai's Chat plan covers up to 5 seats on one price, which can work out cheaper than paying per person elsewhere if a few of you write sales and marketing copy. Its higher plans are built for sales and marketing automation at company scale.
Chat is $29 a month paying monthly, or $24 a month billed annually ($288), for up to 5 seats. Growth is $1,000 a month billed annually.
- Good: up to 5 seats on the entry plan.
- Watch: big jump to the next plan; general assistants do similar drafting for less.
- Price: Chat $29 a month or $24 billed annually, up to 5 seats. Checked 18 Oct 2026 (provider's pricing page).
Writesonic: best for SEO articles at volume
Writesonic focuses on search: researching topics and producing long articles aimed at ranking on Google and in AI answers. It is aimed at businesses publishing blog content regularly.
Starter is $79 a month billed annually, Basic $199 and Growth $399. There is no ongoing free plan. Prices are in US dollars. For SEO tools side by side, see Semrush vs Writesonic.
- Good: SEO research and long-form drafting in one place.
- Watch: expensive if you only write a few pages; articles still need your expertise added.
- Price: Starter $79 a month billed annually. Checked 14 Oct 2026 (provider's pricing page).

UK points to watch when AI writes for your business
- Personal data. Customer names, addresses and complaint details are personal data (ICO). Use business plans with training switched off, or leave identifying details out of prompts. The ICO's AI guidance explains your duties (ICO).
- Never write fake reviews. Writing or commissioning fake reviews is banned under consumer protection law (GOV.UK). Use AI to reply to genuine reviews, not to invent them.
- Claims in adverts must be true. If AI writes "fully qualified", "cheapest in town" or "same-day", you must be able to prove it (CAP Code).
- Check facts and figures. AI tools can state wrong VAT rates, deadlines or legal rules with confidence. Check anything official on GOV.UK.
- British English. Most tools default to American spelling. Add "Use British English and UK terms (VAT, HMRC, postcode)" to your prompt or settings.

Questions

ChatGPT or Claude. Both have free plans that draft emails, quotes, web copy and posts from your notes. Grammarly's free plan is a useful extra for checking what you type.
Is ChatGPT or Claude better for business writing?
Both are good. ChatGPT is quicker for short everyday drafts and has more extras; Claude often needs less rewriting on longer, tone-sensitive pieces such as complaint replies and policies. Try both free on the same task. See our ChatGPT vs Claude comparison.
Is Microsoft Copilot worth it for a small business?
If you work in Outlook and Word all day, it saves the copying and pasting. Microsoft lists Copilot Business from £13.80 per user a month on offer (normally from £16.10), paid yearly, excluding VAT.
Can AI write my website copy?
Yes, as a first draft. Give it your services, area, prices and what makes you different, then edit it so it sounds like you and every claim is true.
Will Google penalise AI-written content?
Google's Search Central guidance (February 2023) says it rewards helpful, original content however it is made. Thin pages produced at scale without real expertise are the risk, so add your own knowledge, photos and examples.
Are AI writing tools tax-deductible?
Software subscriptions used for your business are normally an allowable expense if you're self-employed, according to GOV.UK. Ask your accountant about your own situation.
