Best AI tools for tradesmen (UK): one pick for each job

These are the AI tools for tradesmen we'd actually start with, picked job by job: quotes, invoicing, job management, missed calls, reviews, social posts and admin. It's written for AI tools for tradespeople in the UK, so sole traders and small firms of plumbers, electricians, builders, roofers, decorators, cleaners and the rest. AI for tradesmen in the UK mostly means getting paperwork and phone calls off your plate, not replacing the work itself. Every price below comes from the provider's own pricing page, recorded in our tools data.

Prices checked: 14 to 17 October 2026, on each provider's own page (dates per tool on its tool page). Several of these companies price in US dollars, so the cost in pounds moves with the exchange rate. Check VAT and the current price before you pay.

Affiliate note: one link on this page, to beehiiv, is marked "(affiliate link)". If you sign up through it we may earn a commission at no extra cost to you. No tool paid to be included, and the picks come from price and plan details, not commission. See how we make money.

Quotes: ChatGPT for words, a calculator for numbers

AI is good at turning rough notes into a tidy quote email, a scope of work or a polite follow-up. It's not good at your prices. Work out the number first with the quote calculator (materials, markup, labour and VAT, including the construction reverse charge), then ask ChatGPT to write the covering email around it. Our quote template gives you a printable quote with deposit and validity.

If you quote every day, a job app saves retyping: ServiceM8, Tradify, Fergus, Powered Now and YourTradebase all turn a quote into a job and then an invoice. More detail: AI quote and follow-up tools for trades, how to price a job and how to write a quote that wins.

Invoicing and accounts

  • Free: Zoho Books has a free plan for sole traders and micro businesses. Our invoice template includes the details GOV.UK says an invoice must show, plus VAT, CIS and reverse-charge options.
  • Sole traders: FreeAgent is £19 a month excl. VAT, and free with an eligible NatWest, RBS, Ulster Bank or Mettle business account (conditions apply).
  • Growing firms: Xero Ignite is £18 a month excl. VAT, with Grow at £39. Sage Accounting Start is £20 excl. VAT. Both ran 90%-off introductory offers when checked, so budget for the full price.
  • CIS subcontractors: QuickBooks says all its UK plans include CIS calculation and submission. Its prices load dynamically, so we couldn't record a figure.

Making Tax Digital for Income Tax starts from April 2026 for some sole traders, depending on income; see our Making Tax Digital guide and checker before you pick software.

Job management apps

Monthly list prices, before introductory offers, annual discounts and VAT, read from each UK pricing page on 15 October 2026:

Fergus offers a 14-day free trial with no card needed: fergus.com.

Missed calls and AI receptionists

If you can't answer on a roof or under a sink, an AI receptionist takes the caller's details and texts you a summary. Smith.ai is the only one with an ongoing free plan (25 calls a month, then $3.00 a call). Upfirst Starter is the cheapest paid plan we found at $24.95 a month for 30 calls. Moneypenny is a UK company, from £49 a month on a quote. If you already use a job app, Powered Now has an AI receptionist add-on from £29 a month and Jobber one at $29 a month.

What it costs at 20, 50 or 100 calls a month is in our AI receptionist cost guide. Before you pay anything, put your own call counts into the missed call cost calculator. Full comparison: best AI receptionists.

Reviews

Google Business Profile is free and is where most local customers see your reviews: share your review link by text after each job. Google forbids offering discounts or free items for reviews. If you want the asking done for you, NiceJob Starter is $75 a month and Trustpilot's free plan sends 50 automated invitations a month. See automatic Google review request tools.

Social posts

Before-and-after photos are the easiest posts a trade can make. Canva's free plan has templates and up to 200 standard AI uses a month, ChatGPT can write the caption, and Buffer's free plan covers up to 3 channels, with 10 scheduled posts per channel at a time. Don't show a customer's house number, car registration or anything that identifies them without permission.

Admin, emails and paperwork

  • ChatGPT: the free plan handles most day-to-day drafting. Plus is $20 a month, billed monthly, according to OpenAI's help centre (read 17 October 2026). Read ChatGPT for tradesmen for what it's good and bad at.
  • Gemini: Google AI Plus is $4.99 a month, the cheapest paid AI assistant plan we've confirmed.
  • Microsoft 365 Copilot: Copilot Business from £13.80 per user a month paid yearly, excl. VAT (an offer when checked; normally from £16.10). Worth it only if you already live in Outlook and Word.
  • Fyxer sorts your inbox and drafts replies: free plan with 400 credits a month, drafted replies from Pro at $49 a month ($37 billed annually).
  • Calendly has an always-free plan for booking site visits.

Emails to past customers

A short email to past customers each season (boiler service reminders, gutter clearing before winter) brings repeat work. You need their consent or the soft opt-in for past customers; see our newsletter guide.

  • beehiiv (affiliate link): free for up to 2,500 subscribers with unlimited sends. Automations start on Lite at $59 a month. Read our beehiiv review.
  • Brevo: free plan of up to 300 emails a day, and it does texts too. Starter from $9 a month.

What AI shouldn't do for a trade

Don't use any AI chatbot for electrical, gas or structural calculations: cable sizes, protective device ratings, flue or ventilation requirements, beam or lintel sizes. These follow the Building Regulations, and anyone employed to work on gas appliances in domestic premises must be Gas Safe registered, according to the HSE. AI tools can state wrong figures confidently. Use them for the words around the job, and your training, the regulations and your scheme provider for the work itself. More in ChatGPT for tradesmen.

How we picked

We start from the plans and prices in our tools data, read on each provider's pricing page, and choose the best free option and the best value paid option for each job, favouring UK pricing in pounds where it's close. We haven't tested every tool on live jobs, and no tool paid to be listed. Where a price couldn't be read (QuickBooks, Commusoft, ChatGPT Go), we say so rather than guess.

FAQ

What is the best AI tool for tradesmen?

There isn't one tool that does everything. For most UK trades the best start is ChatGPT's free plan for writing quotes, emails and posts, plus a job app such as ServiceM8 (free for 1 user and 30 jobs a month) for quotes, jobs and invoices.

Are there free AI tools for tradespeople?

Yes. ChatGPT, ServiceM8, Zoho Books, Smith.ai (25 calls a month), Google Business Profile, Canva and Buffer all have free plans, each with limits. Together they cost £0 a month.

Can AI write quotes for tradesmen?

It can write the wording well, but it shouldn't set your prices. Work out the price with a quote calculator first, then ask ChatGPT to write the email around it, and check every figure before you send it.

How much does an AI receptionist cost for a tradesman?

From free (Smith.ai, 25 calls a month) to around $25 to $160 a month for most small trades, depending on how many calls you get. Moneypenny, a UK company, starts from £49 a month on a quote. See our AI receptionist cost guide for prices at 20, 50 and 100 calls a month.

Is ChatGPT safe to use for electrical or gas work?

Not for the technical side. Never rely on it for cable sizing, gas or structural calculations. Use it for paperwork and customer messages, and follow the regulations and your training for the work.

Which job management app is cheapest in the UK?

ServiceM8 has a free plan for 1 user and 30 jobs a month, and its Starter plan is £25 a month with unlimited users but a cap of 50 jobs. For one person, Powered Now is £28 a month excl. VAT and YourTradebase £29 plus VAT.
