AI bookkeeping tools for garages and mechanics in the UK

Garage bookkeeping mixes items with different VAT treatment on one invoice: MOT fees with no VAT, parts and labour at 20%, and sometimes used cars sold under a margin scheme. Parts suppliers' accounts, core charges and warranty claims add more lines. Software that handles mixed VAT per invoice line saves errors on every VAT return.

Prices were re-checked on each provider's own page; the date is next to each one. Rules and figures from GOV.UK are linked where they're used.

MOTs and VAT

The maximum MOT fee for a car is £54.85, and no VAT is charged on the fee (GOV.UK). If you're VAT-registered, set the MOT as a no-VAT line and repairs at 20%, so one invoice can carry both. Xero and Sage support Making Tax Digital for VAT (checked 14 and 15 October 2026).

Used car sales

VAT margin schemes charge VAT on the difference between buying and selling price of eligible second-hand goods, and there are separate rules for second-hand vehicles (GOV.UK). The records needed are specific, so agree how to keep them with your accountant before you sell under a scheme.

Parts accounts and Making Tax Digital

Match monthly parts statements to job cards so you can see the margin on each repair. If your turnover was over £50,000 in 2024 to 2025, Making Tax Digital for Income Tax applies from 6 April 2026 (GOV.UK).

Questions

Do I charge VAT on an MOT?

No. GOV.UK says no VAT is charged on the MOT fee. Repairs and parts are standard-rated if you're VAT-registered.

Can I use the margin scheme for used cars?

Possibly. GOV.UK says second-hand vehicles have their own margin scheme rules; check them with your accountant.

Are these prices in pounds?

Not all. Where a provider only publishes US dollar prices we show dollars, so check the price in pounds at checkout.
