ChatGPT prompts for gardeners and landscapers (UK)

These prompts cover the writing gardeners and landscapers do: quoting a garden build, setting out a maintenance agreement, explaining why a hedge can't be cut yet, and handling green waste. Fill in the [brackets], paste into ChatGPT, Claude or Gemini, and check the draft before sending. Rules below were checked on GOV.UK and HSE on 15 October 2026.

For general trade messages (review requests, payment reminders, complaint replies), see ChatGPT prompts for tradespeople.

Quotes and agreements

1. Landscaping quote from my site notes

Turn my site notes into a clear landscaping quote for [customer] at [area]: [paste notes: patio size and stone, drainage, fencing, turf, planting, waste removal, access]. List each item with a price, what's excluded ([list]), how long it will take ([weeks]), and the payment stages ([list]). Plain English, British spelling.

2. Regular maintenance agreement

Write a short, plain-English garden maintenance agreement: visits [frequency] from [month] to [month], [hours] a visit, price [£amount], what's included (mowing, edging, weeding, hedge trimming [times a year]), what's extra, how to skip a visit, payment terms, and notice to end it ([weeks]). Fair to the customer, British spelling, under 250 words.

3. Reply to a vague "how much for a patio?" enquiry

Someone asked "how much for a patio?" Write a friendly reply giving my typical range per square metre ([£low] to [£high]) and the things that change the price ([list: stone type, groundwork and levels, drainage, access, removal of the old patio]). Offer a free site visit. British spelling, under 150 words.

Rules customers ask about

4. Why I can't cut the hedge right now

A customer wants their hedge cut back hard in [month]. Write a polite reply explaining that I've checked and there's an active bird's nest, that wild birds, their eggs and nests are protected by law, and offering to [trim lightly avoiding the nest/come back on [date] after the birds have fledged]. Friendly, not preachy, British spelling, under 120 words.

GOV.UK says all wild bird species, their eggs and nests are protected by law, and that in most cases you can avoid harming them by timing work to avoid the breeding season (GOV.UK: wild birds).

5. Weedkiller treatment note

Write a short note for [customer] about the weedkiller treatment on [area] on [date]: product used ([name]), why, how long to keep children and pets off ([time, per the label]), and when they'll see results. Add that I hold [certificate name]. British spelling, under 120 words.

Anyone using a pesticide authorised for professional use, including weedkillers, must hold a recognised certificate or work under the direct supervision of someone who does (HSE).

6. Green waste: what we take and what it costs

Write a short paragraph for my quotes and website explaining how we handle garden waste: what we take away, the price ([£ per load or bag]), that we're a registered waste carrier ([registration number]), and what we can't take ([list]). British spelling, under 120 words.

In England, a business that transports waste must register as a waste carrier. Registration is usually free if you only carry waste you produce yourself; otherwise it costs £191.02 (GOV.UK).

Running the business

7. Seasonal rebooking message

Write a short message to past customers in [month] offering [spring tidy-ups / autumn leaf clearance / winter pruning], with my availability ([dates]) and booking link [link]. Friendly, no fake urgency, under 120 words, British spelling.

8. Explain a weather delay on a build

Write a short message to [customer name] explaining that [patio/turf/fencing] is delayed because [ground is waterlogged/frost], why working now would spoil the result, and the new expected date ([date]). British spelling, under 120 words.

9. Before-and-after post

Write an Instagram caption and a Google Business Profile post for a [job] we finished in [area]: before ([problem]), what we did ([list]), and after. Mention [materials]. Under 120 words each, British spelling, no hype, no customer address.

If you film or photograph jobs from the air: flying a drone of 250g or more, or of 100g or more with a camera, needs a CAA Flyer ID and an Operator ID (CAA).

10. Planting and aftercare sheet

Write a simple aftercare sheet for the customer at [area] covering the new [turf/plants/hedge] we put in on [date]: watering ([how often, for how long]), first mow, feeding, what to watch for, and when to call me. British spelling, under 200 words.
