Best AI tools for massage therapists (UK): bookings and admin
Massage therapists mostly work alone, with hands busy and oil on them for most of the day, so the best AI tools are the ones that run the diary without you touching your phone between clients. For a UK massage therapist that means a treatment booking app with deposits and reminders, a safe way to handle intake forms, and quick aftercare messages. If you do home visits, add route planning and a record of business miles. This guide sits under our AI tools for therapists and clinics hub; for salon-style businesses see best AI tools for salons.
All prices come from each provider's own page, checked between 15 and 18 October 2026, and some are in US dollars. Nobody paid for a place here, and we earn nothing from these links (how we make money).

Bookings that protect your time
Treatment-based apps such as Booksy, Fresha and Timely let clients pick a treatment length, pay a deposit and get reminders, which matters when a missed 90-minute slot is most of a morning's income. Look for buffer time between clients for changing the couch and writing notes. Fresha charges a fee on new clients who find you through its marketplace, and Booksy has an optional similar Boost fee, so compare those with the flat monthly price. Put your cancellation terms in writing with our cancellation policy generator.
Intake forms and contraindications
A pre-treatment form asks about health conditions, medication and pregnancy. Health information is special category data under UK GDPR, so it needs a lawful basis, a condition for processing and extra security (ICO, checked 18 October 2026). Keep forms inside your booking system or another secure store, collect only what you need, and don't paste a client's answers into a chatbot.
AI is useful before that point: ask it to draft clear, short form questions and a plain-English privacy note. It must not decide whether a treatment is safe for someone or replace your training on when to refer a client to their GP.
Aftercare and rebooking messages
A short message after a treatment (drink water, what soreness is normal, when to book again) feels personal and brings clients back. Keep three or four saved versions and let AI tailor them: "Write a two-sentence aftercare text for a deep tissue massage client, warm, British English, no medical claims." Don't claim massage treats conditions unless you can prove it; health claims in marketing must be backed up (ASA CAP Code).
Mobile massage: routes, safety and miles
Home visits add travel and lone working. HSE says employers must manage the risks of lone working, and its guidance is useful for the self-employed too: tell someone where you are and when you'll finish (HSE). A booking app that collects the address and a note about parking saves calls.
Keep a log of business miles. Under simplified expenses you can claim a flat rate instead of actual car costs: 55p a mile for the first 10,000 business miles in the 2026 to 2027 tax year (45p before 6 April 2026), then 25p (GOV.UK). Our mileage allowance calculator does the sum, and FreeAgent and Zoho Books can record trips.
Licences
GOV.UK says to contact your council about a premises licence if you run an establishment for massage or other special treatments, and special treatments registration in Greater London (except the City of London) also covers some skin piercing (GOV.UK, checked 18 October 2026). Rules, fees and exemptions differ by council, so check with yours rather than an AI tool.
Reviews and newsletters
Ask for a review a day after the treatment with our review request generator, and offer nothing in return: fake and undisclosed incentivised reviews have been banned since 6 April 2025. Marketing emails need consent, apart from the soft opt-in for similar services to existing clients (ICO).

Under simplified expenses, 55p a mile for the first 10,000 business miles in 2026 to 2027 (45p before 6 April 2026), then 25p, according to GOV.UK.
Do I need a licence to give massages?
It depends on your council. GOV.UK says to contact your council about a premises licence for a massage or special treatment establishment.
How do I reduce no-shows?
Deposits for longer treatments, automatic reminders and a clear cancellation policy agreed at booking.
