Best AI tools for charities (UK): free offers, bids and admin

These are the best AI tools for charities in the UK, picked job by job: free and discounted nonprofit offers, funding bids, newsletters and fundraising emails, meeting minutes, Gift Aid admin and volunteer rotas, plus what the Charity Commission says trustees should watch. It links to the AI tools for charities hub and sits alongside our free AI tools for small business guide. Small charities run on volunteer time, so free tools and less admin go furthest.

Prices checked: 14 to 18 October 2026 on each provider's own page. Some companies price in US dollars, so the pound cost moves with the exchange rate.

Free and discounted nonprofit offers

Google lists Google Workspace for Nonprofits at £0 per user a month for eligible organisations, and Business Standard at £2.95 per user a month on a 1-year commitment (or £3.50 billed monthly) (Google for Nonprofits, checked 18 October 2026). Canva Nonprofits gives eligible registered charities free access to Canva's premium tools, subject to Canva's review; government bodies, schools and grant-making foundations are among those excluded (Canva, checked 18 October 2026). Both verify eligibility through Goodstack.

Bids, reports and appeals

AI is good at a first draft of a funding bid, an impact report or an appeal letter from your own notes and figures. Give it the funder's questions and word limits, then rewrite in your own voice and check every number. Never let it invent outcomes, case studies or quotes from beneficiaries. Our how to use ChatGPT for tenders guide covers public sector contracts.

What the Charity Commission says

The Charity Commission says AI should be used responsibly in a way that furthers your charity's purposes, that trustees remain responsible for decisions and shouldn't rely solely on AI-generated advice for critical decisions, and that charities should consider an internal AI policy and keep human oversight. It flags data security, copyright and inaccurate or biased results as risks (Charity Commission blog, 2 April 2024, checked 18 October 2026). Keep beneficiaries' personal details out of chatbots.

Gift Aid, newsletters and fundraising emails

GOV.UK says charities and CASCs can claim back 25p for every £1 an individual donates through Gift Aid, if the donor has made a Gift Aid declaration and paid enough tax (GOV.UK, checked 18 October 2026). AI can draft a clear declaration explainer; use HMRC's model wording for the declaration itself. Fundraising and marketing emails are covered by the electronic marketing rules, so check the ICO's guidance before emailing supporters, and keep a record of each person's consent.

Minutes and volunteer rotas

Fathom's free plan records and summarises video calls; tell everyone you're recording. A shared Google Sheet or calendar handles most volunteer rotas.
