Best AI tools for plumbers (UK): quotes, calls, service reminders and admin

These are the best AI tools for plumbers in the UK, picked job by job: quotes, invoices, job management, missed calls, annual service reminders, reviews and admin. It sits under our best AI tools for tradesmen hub and links to the AI for plumbers and heating engineers hub. AI handles words, reminders and the phone. It must never give gas safety advice, diagnose a fault for a customer or replace your own checks.

Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate. Check VAT and the live price before you pay.

Quotes for bathrooms, boilers and repairs

Price the job yourself with the quote and VAT calculator, then turn it into clear wording with the AI quote generator, which adds the 14-day cancellation notice for jobs agreed in a customer's home. For bigger jobs, a job app keeps quotes, photos and follow-ups in one place:

Missed calls and emergency triage

Most plumbing calls come when you're under a sink. An AI receptionist can take the name, address, the problem and whether water is still running, then text you. Set it to give the gas emergency number, 0800 111 999, to anyone who smells gas (HSE, checked 17 October 2026), and never to talk a caller through a repair. Set-up and scripts: AI receptionist for plumbers. Costs at 20, 50 and 100 calls: AI receptionist cost UK. Before paying, count a week of missed calls in the missed call cost calculator.

Annual service and landlord reminders

Service reminders are where heating work repeats. Landlords must have gas appliances they provide checked every 12 months by a Gas Safe registered engineer, keep the record for 2 years and give tenants a copy within 28 days (HSE). A job app that sends reminders 11 months after each visit keeps that work coming back to you. AI can write the reminder text; marketing messages to people who aren't existing customers need consent. Invoicing, accounts and Making Tax Digital

Zoho Books free is enough to start. FreeAgent suits sole traders; Xero suits firms with staff or several vans. If your turnover was over £50,000 in 2024 to 2025, Making Tax Digital for Income Tax has applied to you since 6 April 2026 (£30,000 from April 2027, £20,000 from April 2028). Compare accounting apps in invoicing apps for tradesmen and see AI bookkeeping for sole traders. Plumber job pages: invoicing for plumbers, bookkeeping for plumbers.

Reviews and social posts

Ask for a Google review when the job is finished, using your review link. Reply with the review reply generator, which never includes the customer's details. Before-and-after bathroom photos make good posts; remove house numbers and anything that identifies the customer. What AI must not do for plumbers

Gas work in homes must be done by a Gas Safe registered engineer competent in that area of work (HSE). Don't use a chatbot for flue, pipe sizing or unvented cylinder decisions, and don't let an AI receptionist give safety advice beyond "turn it off, call 0800 111 999, and open windows" for a suspected gas leak. Use AI for wording, reminders and admin.

How we picked

One best free start and one best-value paid pick per job, from provider pricing pages in our tools data. UK pounds where the provider shows them. Where a price isn't published (Commusoft), we say so. No paid placements.

FAQ

What is the best AI tool for plumbers?

There isn't one tool. Most UK plumbers do well with ChatGPT free for wording, a job app such as ServiceM8, Powered Now or Tradify for quotes and invoices, and an AI receptionist if missed calls cost them work.

Can AI answer calls for a plumber?

Yes. AI receptionists such as Smith.ai, Upfirst and Powered Now's add-on take messages, ask set questions and text you. Set them to give 0800 111 999 for any smell of gas and never to give repair advice.

What app do plumbers use for quotes and invoices?

In the UK, common choices are ServiceM8, Tradify, Powered Now, YourTradebase and Fergus, with Commusoft for larger heating firms. Prices we recorded run from free (ServiceM8, 1 user) to £34 per user a month (Tradify Lite).

Is there free software for plumbers?

ServiceM8's free plan covers 1 user and 30 jobs a month, Zoho Books has a free accounting plan, and Smith.ai answers 25 calls a month free. Our quote, invoice and review reply tools are free too.

Can ChatGPT help with boiler fault codes?

It can explain what a manufacturer's fault code generally means, but it can be wrong. Always use the manufacturer's manual and your own checks. Never pass AI repair advice to a customer.

How much does AI cost for a plumbing business?

From £0 using free plans, to roughly £50 to £100 a month for a one-person paid kit (job app, accounts and a receptionist). Work out whether it pays with the AI tool break-even calculator.
