Best AI tools for cleaning businesses (UK): bookings, rotas, quotes and admin

These are the best AI tools for a cleaning business in the UK, picked job by job: recurring bookings and rotas, quotes, invoicing, missed calls, hiring staff, reviews and admin. It sits under our best AI tools for tradesmen hub and links to the AI for cleaning businesses hub. Cleaning firms run on repeat visits and small teams, so the tools that pay are the ones that cut rebooking, chasing and rota changes.

Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate.

Recurring bookings, rotas and rebooking

The biggest time sink is moving regular cleans around holidays, sickness and new customers. A job app handles repeat visits, sends reminders and gives each cleaner their day on their phone. ServiceM8 prices by jobs a month, which suits a sole cleaner; check how many visits you do, because 30 jobs a month goes quickly with weekly clients. Jobber includes one user, with extra users at $29 a month each. Calendly is enough for one-off bookings such as end-of-tenancy cleans. Compare: Jobber vs ServiceM8. Cleaner job pages: scheduling for cleaners, quotes for cleaners.

AI is useful for the messages around the rota: the "your cleaner is off sick, here are two new times" text, holiday notices and price rise letters. Prompts for those: ChatGPT prompts for cleaning businesses and the price increase letter prompt.

Quotes for regular, deep and end-of-tenancy cleans

Work out your hourly rate with the day rate calculator, then write the quote with the AI quote generator. List what's included room by room, what isn't (ovens, inside windows, carpets) and your cancellation and key policy. For homes, the generator adds the 14-day cancellation notice when the quote is agreed at the customer's home.

Missed calls

Cleaners often can't answer mid-clean. An AI receptionist can take the address, property size, the type of clean and preferred days, then text you. Rosie prices by minutes, Upfirst by calls; Smith.ai's free plan covers 25 calls a month. Scripts and set-up: AI receptionist for cleaners. Costs: AI receptionist cost UK.

Staff, pay and hiring

Most cleaning firms grow by hiring. Before you do:

  • Pay. From 1 April 2026 the National Living Wage is £12.71 an hour for workers aged 21 and over (GOV.UK, checked 17 October 2026). GOV.UK's guidance on calculating the minimum wage explains when travel between customers counts as working time, so check your rota against it.
  • Insurance. You must have employers' liability insurance covering at least £5 million as soon as you employ someone, unless they're a close family member; you can be fined £2,500 for every day you're not properly insured (GOV.UK, checked 17 October 2026).
  • Right to work. Check every new starter before they begin (GOV.UK).

Write the advert with the job advert generator, which flags pay below £12.71 and risky wording, and see the full cost with the cost of employing someone calculator and the holiday entitlement calculator.

Keys, alarm codes and customer data

Keys and alarm codes are personal data risks. Don't paste customer addresses, codes or key details into a chatbot. Keep them in your job app with restricted access, and label keys with a code rather than an address. For the rules: can I put customer data into ChatGPT?.

Invoicing and accounts

Zoho Books and Tide's free plan both invoice. FreeAgent suits sole traders; QuickBooks or Xero suit firms with payroll. Making Tax Digital for Income Tax applies from 6 April 2026 for turnover over £50,000, and from April 2027 for over £30,000 (guide). See invoicing apps for tradesmen, AI bookkeeping for sole traders and invoicing for cleaners.

FAQ

What is the best AI tool for a cleaning business?

For most small UK cleaning firms: a job app for recurring visits (ServiceM8 or Jobber), ChatGPT for quotes and customer messages, and an AI receptionist such as Rosie or Upfirst if you miss calls while cleaning.

What app do cleaning businesses use for scheduling?

Common choices are Jobber and ServiceM8 for recurring cleans and team rotas, with Calendly for simple online booking. ServiceM8 is free for 1 user and 30 jobs a month.

Can AI quote for cleaning jobs?

AI can write the quote once you know your price. Work out your hourly rate and time per property yourself, then use the AI quote generator or ChatGPT to set it out clearly.

What insurance do I need to employ cleaners?

Employers' liability insurance with at least £5 million cover, from an authorised insurer, as soon as you employ someone (close family members excepted). Public liability insurance isn't a legal requirement but most customers expect it.

How much should I pay cleaners in 2026?

At least £12.71 an hour for workers aged 21 and over from 1 April 2026, with lower legal minimums for younger workers. Check how travel between jobs counts when you work out minimum wage.

Is there free software for cleaning businesses?

Yes: ServiceM8's free plan, Calendly Free, Zoho Books Free, Tide's free plan and Smith.ai's 25 free calls a month. Our quote, job advert and review reply generators are free too.
