AI price increase letter prompt

Use this AI price increase letter prompt to tell customers about a rise honestly and clearly. Fill in the services, the rise, the date and the reason, then check the figures before you send it.

Write a short, honest letter telling my customers that prices for [services] will rise by [% or £] from [date], giving [weeks] notice. Explain the reason in one or two plain sentences ([e.g. materials, insurance, fuel, wages]), say what stays the same ([e.g. quotes already sent are honoured until (date)]), thank them, and say how to get in touch with questions. British spelling, under 180 words, no hype or apology overload.

Filled-in example

Here's the prompt with the brackets filled in:

Write a short, honest letter telling my customers that prices for regular window cleaning will rise by £2 a visit from 1 January, giving 8 weeks notice. Explain the reason in one or two plain sentences (fuel, insurance and equipment costs have gone up), say what stays the same (same day, same window cleaner), thank them, and say how to get in touch with questions. British spelling, under 180 words, no hype or apology overload.

And the kind of draft it gives (yours will differ; always edit it):

Dear customer,

Thank you for using Clearview Window Cleaning. I'm writing to let you know that from 1 January, the price of a regular clean will go up by £2 a visit. Fuel, insurance and equipment have all gone up over the past year, and this is my first change in two years. Nothing else changes: same day, same window cleaner, same standard. If you have any questions, call or text me on 07700 900123.

Thanks for your custom,
Joe

How to adapt it

  • Ask for a text version under 300 characters for customers who prefer texts.
  • For business customers on contracts, check your contract terms for price changes first.
  • Say whether quotes already sent will be honoured, and until when.
  • Work out the new prices first with our price increase calculator, then paste them in.

UK rules to know

If your terms with consumers let you change prices, the term must be fair; under the Consumer Rights Act 2015 an unfair term isn't binding on the consumer (legislation.gov.uk). Giving clear notice and honouring quotes already sent is good practice. Our price change clause generator helps with terms. Checked 17 October 2026.

FAQ

How do I tell customers about a price increase?

Give notice, say what's changing and from when, explain the reason briefly and honestly, say what stays the same, and thank them. A short letter, email or text is enough.

How much notice should I give for a price increase?

There's no single rule for all businesses; check your terms and contracts. Many small businesses give four to eight weeks, and honour quotes already sent.

Should I apologise for a price increase?

A brief, honest explanation works better than a long apology. Customers mainly want to know what's changing and why.

Can AI write a price increase letter?

Yes. Give it the services, the rise, the date and the reason, and check the figures before sending.
