Best AI tools for mechanics and garages (UK): bookings, MOTs and admin
These are the best AI tools for mechanics and independent garages in the UK, picked job by job: garage management software, MOT and service reminders, estimates and approval for extra work, missed calls, card payments, accounts and reviews. It sits under our best AI tools for tradesmen hub and links to the AI for garages and mechanics hub. In a garage, most of the useful automation lives in the garage management system; general AI tools fill the gaps with messages, explanations and posts.
Prices checked: 14 to 17 October 2026 on each provider's own page (the same figures as our tools directory). Some companies price in US dollars, so the pound cost moves with the exchange rate.

Garage management software
General job apps such as ServiceM8 or Tradify handle quotes, jobs and invoices, but they don't know about registrations, MOT dates or parts catalogues. Dedicated garage management systems do. Garage Hive, for example, lists DVSA MOT integration, registration and postcode lookup, automated MOT, service and timing belt reminders, online job authorisation by the customer, technician time clocking, parts catalogues and Xero, Sage and QuickBooks integrations on its pricing page. It doesn't publish a price; you fill in a form or call for one (checked 17 October 2026). Ask any supplier for a written monthly price, the contract length and how you get your data out if you leave.
Before you switch, list the five things you do every day (booking in, estimates, approvals, invoices, reminders) and test those on a trial, not the feature list. Compare general job apps: best field service apps and scheduling apps for garages.
MOT and service reminders
Reminders are the cheapest repeat business a garage gets. GOV.UK says you can get an MOT up to a month (minus a day) before it runs out and keep the same renewal date (GOV.UK, checked 15 October 2026), so a reminder about five weeks before the due date gives the customer time to book. The maximum MOT fee for a car is £54.85, and no VAT is charged on the fee (GOV.UK: MOT fees).
A reminder that asks the customer to book with you can count as marketing, so ask for consent when you take their details, or rely on the limited soft opt-in for existing customers who were given a chance to opt out (ICO). Ready-made wording: ChatGPT prompts for garages.
Estimates and approval for extra work
Most disputes in a garage start with work the customer didn't expect to pay for. If a contract doesn't fix the price, the customer must pay a reasonable price (Consumer Rights Act 2015, section 51), and the work must be done with reasonable care and skill (section 49). The fix is simple: an itemised estimate, then a text or online approval before any extra work, with a photo of the problem.
AI is good at turning your technician's notes into a plain-English explanation of an MOT result or a fault, in one line per item, with no scare tactics. Paste in the notes and prices, not the customer's name or registration. Use the quote wording generator for a clear estimate, and see AI quoting tools for garages.
Air conditioning work
If you regas or repair car air conditioning, check your technicians' qualifications before you advertise it. GOV.UK says you must have a qualification to recover refrigerant from mobile air conditioning systems in cars and other passenger vehicles with 8 seats or fewer, and goods vehicles under 3.5 tonnes, and that it's against the law to work with F gas without the correct qualifications (GOV.UK: qualifications to work with F gas, checked 17 October 2026). An AI receptionist or chatbot shouldn't book air con work if no one on site holds the qualification.
Missed calls
A garage phone rings while everyone has their hands in an engine bay. An AI receptionist can answer, take the registration, the fault and a callback number, and text you a summary. Configure it to tell anyone with a car that's unsafe to drive not to drive it, and never to quote a price for a repair it can't see. Set-up and scripts: AI receptionist for garages. Costs at 20, 50 and 100 calls: AI receptionist cost UK. Record a short greeting with the voicemail greeting generator.
Payments, accounts and VAT
Card readers: SumUp has no monthly fee at 1.69% a transaction; Dojo charges a 1.2% blended rate under £100,000 annual card turnover, with a £239 or £179 device. Compare all five readers in best card readers UK. For accounts, Xero and QuickBooks connect to most garage systems; see invoicing for garages and bookkeeping for garages. Selling used cars too? Reviews and posts
Ask every happy customer for a Google review with your review link, and reply to every negative one calmly. Draft replies with the review reply generator, which keeps customer details out. Seasonal posts (winter checks, air con before summer) are easy to write with the social post generator; crop number plates out of photos. More: reviews for garages and social media for garages.

FAQ
What is the best AI tool for a mechanic?
For most garages, a garage management system with automated MOT and service reminders saves the most time. Add ChatGPT to explain faults and MOT results in plain English, and an AI receptionist if you miss calls in the workshop.
Is there free garage management software?
Few dedicated garage systems publish a free plan. A mobile mechanic can start with ServiceM8's free plan (1 user, 30 jobs a month), Zoho Books Free for accounts and Google Business Profile for reviews.
Can AI send MOT reminders?
Yes. Garage systems such as Garage Hive list automated MOT reminders. You can get an MOT up to a month (minus a day) before it runs out and keep the renewal date, so remind customers about five weeks ahead.
Do I need permission before doing extra work on a car?
Get it in writing. If the price isn't agreed, the customer only has to pay a reasonable price, so an estimate plus a text or online approval with a photo prevents most disputes.
Do mechanics need a qualification for air con regas?
Yes. GOV.UK says you must hold a qualification to recover refrigerant from air conditioning in cars, passenger vehicles with 8 seats or fewer and goods vehicles under 3.5 tonnes.
