How to choose an AI tool for a small business
New AI tools appear every week. Most sole traders don't need many of them. Use these five questions before you add another subscription.
For tool lists with checked prices, start at free AI tools for small business and AI tools for sole traders on a budget.
1. What job is this for?
Write one sentence: "I want help with ___ so that ___." Examples: answer the phone when I'm on a roof; turn site notes into a quote; ask for Google reviews after a job.
If you can't name the job, don't buy the tool. Browse by job on our /for hubs or /ai/ pages instead of by brand.
2. Is there a free plan that proves it?
Prefer tools with a free tier or a short trial you can finish in a week. Our directory flags free plans where we found them (for example ChatGPT, Tidio, Canva).
A free plan that can't complete your real job isn't a free plan for you.
3. What data does it see?
Ask:
- Does it need access to your email, calendar or drive?
- Are customer names and addresses stored on their servers?
- Can you delete data when you leave?
Don't paste payroll, children's details or health notes into a consumer chatbot. For children's data as a tutor, see our tutors prompt guide.
4. How hard is it to leave?
Before you rely on a tool, check export: can you download contacts, transcripts, booking history or content as CSV or PDF? See avoiding AI tool lock-in.
5. What does it cost once it works?
Use the price on the vendor page (or our tools entries, dated when we checked them) and the AI tool break-even calculator. Count:
- Monthly fee (and overage per call, minute or message)
- Your time to set it up
- Hours saved × what an hour of your work is worth (day-rate calculator)
If the tool only saves you twenty minutes a week, a £50-a-month plan is hard to justify.
A one-week test plan
- Pick one job and one tool.
- Use it on real work for five working days.
- Keep a note of time saved and mistakes you had to fix.
- Keep it only if the time saved clearly beats the fee.

FAQ
Should I wait for the "best" tool?
No. Pick a good-enough tool for one job, learn what you need, then switch if something clearly better appears and export is easy.
Are cheaper AI tools worse?
Not always. Match the tool to the job. A focused missed-call tool can beat a large suite you only use for SMS.
