Unified inbox tools for small businesses
A unified inbox puts email, chat and sometimes social messages in one queue so nothing sits unanswered in three apps. Sole traders often don't need one; small teams usually do once two people answer the same customers.
Prices below come from our tools directory, checked 14–15 October 2026. Links are plain vendor links (no affiliate tags on these tools).
Do you need a unified inbox?
Yes, if:
- Customer messages arrive by email, website chat and Instagram and you lose track.
- More than one person replies and you duplicate answers.
- You want simple reports on response time.
No, if:
- Almost everything comes to one email address you already handle.
- You're a sole trader with a light message load — a good email filter and our admin prompts may be enough.
Tools we list
HubSpot
HubSpot free tools: $0 for up to 2 users. Starter: from $7 per seat a month on the pricing page's default billing option; paying monthly showed $10 per seat a month when we checked (15 October 2026).
Fits teams that also want a simple CRM. Start on free; only pay when you need the shared inbox limits or automation on paid seats.
Freshdesk
Freshdesk: from $19 per agent a month billed annually; a higher plan from $55. Freddy AI Copilot was listed at $29 per agent a month extra (checked 14 October 2026).
Fits teams that want a classic helpdesk: tickets, priorities, SLAs. Overkill if you only need a shared Gmail label.
Tidio
Tidio: free plan; Starter from 24.17 a month billed annually (100 billable conversations); Growth from 49.17 a month; Lyro AI is priced separately on their page (checked 14 October 2026). Currency at checkout can vary — confirm before you pay.
Fits websites that need live chat first, with email and automation attached. Conversation-based pricing means you should count monthly chats before you pick a plan.

FAQ
Is a shared Gmail inbox enough?
Often yes for one or two people. Use labels, filters and canned responses first. Move to a helpdesk when you need assignment, reporting or a customer portal.
Do these replace a phone receptionist?
No. Inboxes handle written channels. Missed calls need a phone tool or a person.
