ChatGPT prompts for wedding and events businesses (UK)

These prompts help wedding photographers, planners, venues, DJs and similar event businesses with enquiries, proposals, deposits and timeline emails. Fill in the [brackets], paste into ChatGPT, Claude or Gemini, and check before you send. Rules checked on 16 October 2026.

Enquiries and proposals

1. First reply to a wedding enquiry

Write a warm reply to [names] about their wedding on [date] at [venue or "venue TBC"]. Services I offer: [list]. Starting price or packages: [figures]. Next step: [call / questionnaire / meeting]. British spelling, under 150 words. Don't invent availability.

2. Proposal covering email

Write a short email covering my proposal for [names], [date]. Package: [name], total £[amount], what's included: [bullets], deposit £[amount] due by [date] to reserve. Link or attachment: [how they receive the PDF]. British spelling, under 140 words. Don't change numbers.

3. Timeline for the wedding day

Turn these notes into a clear day-of timeline for [couple names] on [date]: [paste notes]. Include buffer times. British spelling, plain list. Don't add ceremonies or legal steps I didn't mention.

Deposits, cooling-off and cancellations

4. Deposit and booking terms

Write plain-English booking terms for [service type]. Deposit [£ or %] non-refundable except where the law says otherwise; balance due [when]; client postponement rules: [policy]; if I cancel: full refund of money paid. British spelling, under 180 words.

Unfair terms: a consumer should not have to pay a disproportionately high sum for services not supplied (CRA 2015 Sch 2 para 5). Services must be performed with reasonable care and skill (CRA s49).

5. Explain the 14-day right (when it applies)

Write a short note for clients who booked [online / by phone / at a wedding fair] explaining they may cancel within 14 days of booking without giving a reason, how to cancel ([email]), and what happens if they asked me to start within those 14 days. British spelling, under 120 words. Don't claim the right never applies.

For distance and off-premises contracts, consumers often have 14 days to cancel; if you do not give the information, the period can extend (up to 12 months in the regulations). If they ask you to start early and then cancel, they pay a proportionate amount for what was supplied (CCR 2013 regs 29–36; GOV.UK doorstep selling overview). Some made-to-spec or dated leisure exceptions can apply — check the regulations for your service type rather than relying on an AI summary. Use the deposit refund calculator for proportionate refunds inside the cooling-off period.

6. Postponement (not cancellation)

Write an email agreeing to move [names]' wedding from [old date] to [new date]. Deposit already paid stays on account. Any price change: [none / new total]. British spelling, under 110 words.

Operations

7. Supplier chase

Write a polite chase to [supplier] about [item] needed by [date] for [event]. Ask for confirmation of delivery or setup time. British spelling, under 80 words.

8. Rain / contingency message

Write a calm message to [couple] about wet-weather options for [outdoor element]: option A [plan], option B [plan], decision needed by [time]. British spelling, under 100 words.

9. Review / testimonial ask

Write a short message after the wedding thanking [names], mentioning [one specific moment], asking for a Google review at [link] or a short testimonial I can show future couples. No incentive. British spelling, under 90 words.

10. Price-rise for couples not yet booked

Write a website or email note: packages rise from [date] to [new prices]; enquiries already quoted in writing keep the quoted price until [validity]. British spelling, under 100 words.

FAQ

Can I keep the whole deposit if a couple cancels a year out?

It depends on your contract, when they booked, and whether cooling-off or unfair-terms rules apply. A blanket "all deposits non-refundable in every case" can be risky — get the wording checked if sums are large.

Does the 14-day right apply to every wedding booking?

Not always. It often applies to distance and off-premises contracts, with exceptions. Check the Consumer Contracts Regulations for your booking channel and service type.
