ChatGPT prompts for music teachers (UK)
These prompts help private music and dance teachers with parent messages, practice notes, cancellation policies and website copy. Fill in the [brackets], paste into ChatGPT, Claude or Gemini, and check before you send. Don't paste children's full names, addresses or safeguarding notes into an AI tool. Rules checked on 16 October 2026.
Lessons and parents
1. Trial lesson confirmation
Write a short email to [parent name] confirming a trial [instrument / dance style] lesson for [child first name only] on [day, date] at [time], at [online / my studio / their home]. What to bring: [list]. Trial fee: [£amount]. British spelling, under 140 words.
2. Practice note after a lesson
Turn these lesson notes into a short practice plan for [child first name only]: [notes]. Include 3 practice tasks for the week and one encouragement. No grades inventing. British spelling, under 120 words.
3. Exam entry information
Write a factual note for parents about entering [exam board] [grade] on [exam date or session]. Fees: [amount], what I prepare in lessons, what parents book themselves ([accompanist / theory]). Don't invent board rules. British spelling, under 130 words.
Always check the real exam-board entry rules.
Bookings and pay
4. Cancellation policy
Write a fair cancellation policy for my music teaching. [Hours] notice to move a lesson; less notice means [fee rule]; block of [number] lessons paid in advance: [freeze / expiry rules]; illness: [policy]. Plain English, under 150 words.
Unfair high cancellation charges: CRA 2015 Sch 2 para 5.
5. Missed-lesson follow-up
Write a short message after a missed lesson on [date] without notice. Restate the notice rule, offer to rebook, state whether the lesson is charged. British spelling, under 90 words.
6. Termly invoice email
Write an invoice covering email for [term]: [number] lessons at £[rate], total £[amount], due by [date], payment details [sort code/account or link]. British spelling, under 100 words.
Pair with the invoice template.
Safeguarding, DBS and data
7. DBS wording for your website
Write a short website note: I hold an Enhanced DBS check for work with children [with / without barred list — match my certificate], parents can ask to see it, a DBS check is only one part of suitability. Don't claim every tutor legally must have one. British spelling, under 100 words.
From 21 January 2026, eligible self-employed people (GOV.UK's example includes a private maths tutor; music teachers in similar roles should check the DBS tools for their exact work) can apply for Enhanced or Enhanced with Barred List checks through a DBS Umbrella Body (GOV.UK: DBS checks for self-employed people). Teaching, training or instruction of children on more than three days in any 30-day period can fall within regulated activity (GOV.UK: regulated activity with children).
8. Data-care note for parents
Write a short privacy note: what I keep (contacts, lesson notes, invoices), why, that I don't post children's details on social media, how to ask for updates. British spelling, under 140 words.
Group classes and music use
9. Class music / licensing reminder (for your own checklist)
Write a short checklist for me (not a legal opinion) before I play recorded music in a group class at [venue type]: confirm whether the venue already holds a licence, whether I need my own, and to check my streaming service allows teaching use. British spelling, under 100 words. Don't invent a price.
If you play recorded music in classes or studios, you may need TheMusicLicence from PPL PRS. PPL PRS publishes sector pages and worked examples (for fitness classes it has published per-class examples; music teaching venues vary). Check the current PPL PRS TheMusicLicence pages for education and teaching rather than copying a fitness figure across. Streaming services' personal plans often forbid commercial teaching use.
10. Website about page
Write an About page: instruments/styles [list], ages or grades [list], online or in [area], from £[amount] a lesson, DBS [yes/see certificate], how to book. No guaranteed grade claims. British spelling, 150 to 220 words.

FAQ
Do all private music teachers need a DBS check?
It depends on the role and whether it is regulated activity. Use the DBS guidance and eligibility tools rather than an AI summary.
Can I play Spotify in lessons?
Check your streaming plan's terms. Many personal plans don't allow commercial teaching use, and public performance may need a PPL PRS licence.
